Regional Practice Manager - Clinical Operations Position Overview The Regional Practice Manager is responsible for overseeing the day-to-day operations of Emerald's Dublin office while providing operational leadership and support across all three office locations. This role will oversee administrative teams, including Medical Assistants and other designated support staff, while ensuring consistent workflows, staffing, office standards, and operational processes across the organization. The Manager will be responsible for people, processes, office management, performance, and patient experience, working closely with clinical and executive leadership to ensure Emerald's operations support continued growth. This is a hands-on operational leadership role for an organized, proactive, and solutions-oriented professional who enjoys developing teams, improving processes, managing office environments, and creating consistency across multiple locations. Key Responsibilities Team Leadership & People Management Directly supervise, coach, and support Medical Assistants and Administrative teams. Establish clear expectations for performance, professionalism, productivity, and patient service. Conduct regular one-on-one meetings, performance check-ins, and team meetings. Provide coaching and accountability when performance or behavioral concerns arise. Recognize and develop high-performing employees and identify opportunities for growth. Support hiring, interviewing, onboarding, and training of MA and Administrative team members. Monitor staffing levels and work with leadership to address coverage and capacity needs. Build a positive, collaborative, and accountable team culture. Ability to travel up to 25% to Emerald's Reynoldsburg and Cincinnati offices to support operational needs, team collaboration, and consistency across locations. Office Operations & Management Oversee the day-to-day operations of the Dublin office, ensuring the office is organized, functional, and adequately resourced. Provide operational oversight and support across all three Emerald office locations. Ensure consistent office management standards, processes, and expectations across locations. Manage Dublin office supplies, equipment, furniture, and general operational resources. Coordinate office maintenance, repairs, vendors, and facility-related needs. Identify and address office space, functionality, and resource requirements. Support office openings, expansions, relocations, and operational setup as needed. Establish processes for supply ordering, inventory management, and office readiness. Coordinate office events, employee activities, and other office-related initiatives. Identify operational challenges and ensure timely solutions. Partner with leadership to ensure each office is prepared to support staff and patient needs. Daily Clinical Operations Oversee the daily operations of Medical Assistant and Administrative workflows. Ensure appropriate staffing and coverage to support patient volume and provider schedules. Monitor patient flow and identify bottlenecks or operational breakdowns. Ensure rooms, equipment, supplies, and treatment areas are prepared and operational. Coordinate with providers and administrative teams to resolve day-to-day operational issues. Serve as the primary operational resource for the MA and Administrative teams. Troubleshoot issues quickly and escalate concerns appropriately. Ensure teams consistently follow established workflows, policies, and procedures. Medical Assistant Operations Oversee MA workflows supporting providers and patients. Ensure MAs are appropriately assigned and available based on provider schedules and patient volume. Monitor MA productivity, workload, and workflow efficiency. Identify opportunities to improve rooming, patient intake, provider support, and other MA processes. Ensure MAs have the training and resources necessary to perform their responsibilities effectively. Partner with providers to identify opportunities to improve MA/provider workflows. Patient Experience Promote a consistently exceptional patient experience across all clinical support interactions. Monitor patient feedback and identify operational issues that may negatively impact the patient experience. Coach team members on communication, professionalism, service recovery, and de-escalation. Help create a welcoming, organized, trauma-informed environment for patients. Take ownership of operational issues affecting patients and ensure appropriate resolution. Process Improvement Evaluate current workflows and identify opportunities to improve efficiency, quality, and scalability. Develop and implement standard operating procedures and workflow improvements. Identify recurring operational problems and develop sustainable solutions. Use data and team feedback to evaluate operational performance. Partner with leadership on new initiatives, process changes, and practice expansion. Help standardize operations across locations to create a consistent Emerald experience. Compliance, Quality & Risk Promote adherence to organizational policies, healthcare regulations, and established clinical support workflows. Ensure staff complete required training and competencies. Monitor compliance with operational procedures and escalate concerns appropriately. Support quality improvement initiatives and documentation standards. Partner with clinical and administrative leadership when issues involving patient safety, compliance, or risk arise. Communication & Cross-Functional Partnership Serve as a key communication link between clinical support teams, providers, and administrative leadership. Communicate operational priorities, changes, and expectations clearly to team members. Partner with HR on employee relations, performance management, hiring, and employee development. Partner with scheduling, billing, and administrative teams to resolve cross-functional issues. Keep leadership informed of operational challenges, staffing concerns, performance trends, and opportunities. Participate in leadership and operational meetings as needed. Performance & Operational Metrics The Practice Manager will be responsible for monitoring and improving key operational indicators, which may include: Staff productivity and utilization Staffing and coverage Patient flow and wait times Appointment capacity Patient experience and service concerns Staff retention and attendance Workflow adherence Operational errors and recurring issues Patient and provider feedback Completion of required training and competencies What We're Looking For We are looking for someone who is both a people leader and an operator. The ideal candidate will have:
5+ years of experience in healthcare operations, practice management, clinical operations, or a related healthcare leadership role. Experience directly supervising and developing employees. Experience working in an outpatient healthcare environment; behavioral health experience is strongly preferred. Strong understanding of healthcare workflows and patient-facing operations. Demonstrated ability to manage multiple priorities in a fast-paced environment. Strong problem-solving and decision-making skills. Excellent communication and interpersonal skills. A high level of organization and attention to detail. Ability to hold team members accountable while maintaining strong relationships. Ability to identify inefficiencies and develop practical solutions. Comfort working with operational metrics and performance data. Strong customer service and patient experience orientation. Ability to work collaboratively with providers, administrative teams, and leadership. Preferred Qualifications Experience managing Medical Assistants or other clinical support personnel. Experience in psychiatry, behavioral health, neurology, primary care, or another outpatient specialty. Clinical background such as MA, LPN, RN, or similar healthcare experience. Experience managing operations across multiple locations. Experience implementing new workflows, systems, or processes.
