GENERAL SUMMARY
The Medical Specialties Office Manager reports to the Director of Medical Staff Services and the Medical Specialties Operations Manager. Responsible for personnel management and oversight of clinic operations. Responsible for the enforcement of clinic policies and procedures. Responsible for managing the daily operations of the office. Works in collaboration with medical staff to implement care delivery by creating and sustaining a high performance practice team.
QUALIFICATIONS
Education:
High School Diploma or successful completion of an equivalent High School Exam Required Associate's Degree or equivalent Physician Office and/or management experience required Bachelor's Degree preferred
Licensure:
BLS required within 90 days of hire
Experience:
Two years of management experience preferred Two years of healthcare experience preferred.
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time. 1. Oversees daily operations of medical practice. 2. Coordinates department orientation and training for new hires. 3. Maintains adequate staffing levels in the physician offices by updating vacation and float calendars and filling in for vacant positions when coverage is not available. 4. Ensures offices are appropriately stocked by ordering supplies, monitoring usage, and managing supply costs. 5. Monitors employee hours in the payroll system to ensure proper use of PTO, overtime, etc. 6. Manages physician office personnel through daily huddles, rounding, continuous performance feedback, and annual reviews. 7. Interacts with key hospital leaders and maintains thorough documentation to promote physician accountability including actively participating in the PREP process 8. Creates, updates, and distributes physician on-call calendars. 9. Performs monthly audits to ensure Joint Commission and safety compliance. 10. Monitors performance on department dashboard and creates action plans when necessary. 11. Performs as a liaison between the hospital departments and physician practices, most often in relation to maintenance requests, IS support, and employee requirements. 12. Coordinates all aspects of new physician office start-ups, office location transfers, and practice closings. 13. Serves as a mediator to promote conflict resolution among staff, physicians, and the management team. 14. Assists in the coordination of care for the patient in collaboration with other members of the health care team to meet the health care needs of the patient. 15. Pre-cleans, decontaminates and transports contaminated instruments according to policy 16. Performs intermediate-level disinfection and/ or high level disinfection per the Instructions for Use (IFU) by the manufacture. This includes ensuring the scopes or probes used within the department are cleaned, disinfected, maintained and stored per the IFU's. 17. Ensures the patient and provider schedules are efficient and accurate. 18. Works with HIM, billing and providers to audit charge capture and monitor provider and practice deficiencies. 19. Holds provider accountable for timely record completion in collaboration with their manager 20. Ensures IFU's are up to date for all equipment in practice.
