This role is ideal for someone who enjoys working closely with pet owners, supporting a veterinary team, and helping create a calm, compassionate experience for clients and patients. Dr. Sam's Veterinary House Calls is a full-service Veterinary practice with a standing clinic located in the Lehigh Valley (Allentown area) in eastern Pennsylvania. Our medical care encompasses everything from new puppy/kitten exams, to sick pets, to hospice care. We utilize a variety of portable diagnostic equipment (including mobile radiographs). Working in the home allows us to foster close patient and client relationships, while our clinic allows us the option to see patients in clinic and to perform surgeries and procedures. We offer a Monday-Thursday 4-day work week, off every Friday, Saturday and Sunday, paid major holidays (for full time employment after 90 days of employment), and a friendly staff. We encourage continued staff education and foster a genuine curiosity and love for the veterinary field. About the Role The CSR / Office Manager will be the first point of contact for many of our clients and an important part of our practice's daily workflow. Responsibilities include client communication, appointment scheduling, medical record coordination, payment processing, inventory support, and general office organization. Because we provide both mobile and in-clinic care, the ideal candidate is flexible, proactive, comfortable with changing schedules, and able to communicate clearly with clients and team members. Key Responsibilities Greet clients warmly by phone, email, text, and in person, while helping maintain a welcoming and professional practice environment. Schedule mobile visits, in-clinic appointments, follow-ups, and procedures while coordinating provider availability and travel logistics. Answer client questions about services, appointment availability, practice policies, estimates, and general pet care instructions within established guidelines. Maintain accurate client and patient records, including contact details, appointment notes, invoices, payments, and medical documentation. Process payments, prepare invoices, follow up on balances, and assist with basic billing and bookkeeping support. Communicate urgent concerns to the veterinary team promptly and help prioritize client needs appropriately. Support inventory management by tracking office, medical, and mobile supplies and helping place orders as needed. Assist with daily office organization, cleaning of client-facing areas, filing, supply restocking, and workflow coordination. Help create and maintain efficient office procedures that support high-quality patient care and excellent client service. Serve as a steady, compassionate presence for clients who may be worried, emotional, or navigating difficult decisions about their pets. Qualifications Previous veterinary reception, customer service, office administration, or medical office experience preferred. Strong communication skills and a calm, courteous phone and client-service manner. Excellent organization, attention to detail, and ability to multitask in a small-practice environment. Comfort using computers, email, scheduling systems, payment platforms, and practice-management software. Ability to work independently, take initiative, and adapt when mobile appointment schedules change. Professional, reliable, compassionate, and comfortable working around animals and pet owners. Ability to maintain confidentiality and handle client and patient information responsibly. Experience with inventory, billing, social media, marketing, or staff coordination is a plus.
