We are an established, growing, six-operatory dental practice seeking an experienced Dental Practice Manager to take ownership of the day-to-day business and operational side of our office. This is not simply a front-desk manager position . We already have team members responsible for scheduling, insurance, payment posting, treatment coordination, assisting, supplies, and other daily functions. We are looking for a strong manager who can bring all of these areas together, create accountability, identify problems early, and make sure things actually get completed. Our practice provides comprehensive general and cosmetic dentistry as well as Invisalign, implants, complex implant treatment, All-on-X, oral surgery and other advanced procedures. We are looking for someone who can help us build the systems and team needed to continue growing. What You Will Own Revenue Cycle & Collections Oversee the process from completed treatment through claim submission, insurance payment, patient balance and collection. Make sure claims, rejected claims, insurance requests and outstanding A/R are being followed. Identify billing or collection issues before revenue is lost. Review key collection and A/R metrics with ownership. Scheduling & Practice Productivity Help maintain productive doctor and hygiene schedules. Monitor openings, cancellations and schedule utilization. Coordinate staffing and temporary coverage when needed. Look ahead and solve scheduling or staffing problems before they become emergencies. Treatment & Case Follow-Up Oversee follow-up for Invisalign, implant, All-on-X and other significant treatment plans. Work closely with our treatment coordinator to make sure patients receive appropriate financial and scheduling follow-up. Track unscheduled treatment and help improve case acceptance and follow-through. Team Leadership & Staffing Coordinate day-to-day team operations and accountability. Assist with recruiting, interviewing, onboarding and training. Manage routine call-outs, coverage, PTO coordination and staff concerns. Conduct team meetings and help create a positive, organized and accountable culture. Hygiene Department Help maintain a productive hygiene schedule. Support consistent reappointment, patient education, iTero scanning and treatment-identification protocols. Work with the hygiene team to reduce openings and improve patient follow-through. Office Operations, IT & Equipment Become the first point of contact for routine operational problems. Coordinate with Open Dental support, IT, imaging/equipment vendors and other outside resources when something is not working. You do not need to personally repair equipment—you need to take ownership of getting the problem resolved. Marketing & Practice Growth Coordinate with our marketing partners and internal team. Help organize patient testimonials, educational videos, social-media content and practice promotions. Help plan Invisalign Days and other special events. Make sure marketing leads are contacted, scheduled and followed appropriately. Insurance / PPO Oversight Help maintain accurate insurance participation and fee schedule information. Monitor credentialing/network issues. Coordinate periodic PPO contract and fee schedule reviews. Patient Experience Help resolve patient concerns involving scheduling, billing and service. Create consistent systems so patients receive clear communication and a high level of service. What We Are Looking For We are looking for someone who is: Experienced in dental practice management or senior dental administration. Knowledgeable about dental insurance, claims, A/R and collections. Comfortable understanding dental scheduling and practice production. Familiar with treatment coordination and larger treatment cases. Organized, accountable and excellent at follow-through. Comfortable managing and coaching a team. Resourceful and able to solve problems independently. Comfortable working with practice-management software; Open Dental experience is a plus . Comfortable with technology and communicating with IT/equipment vendors. Able to look at numbers and identify where the practice needs attention. Professional and confident communicating with doctors, team members and patients. Experience with Invisalign, implants, high-value treatment coordination or a comprehensive dental practice is strongly preferred. What Success Looks Like The right manager will make the office more organized and less dependent on the doctors for everyday operational issues. You should be someone who, when presented with a problem, can determine: Who should handle it? What needs to happen? When should it be completed? And did it actually get done? You do not need to personally perform every task. Your responsibility is to make sure the practice's systems and team are working together and that important items do not fall through the cracks. We will provide clear responsibilities, a 30/60/90-day onboarding plan, measurable performance goals and regular communication with ownership.
