Medical Office Lead / Practice Operations Manager Life In Balance Osteopathic Medical Center — Rochester Hills, MI Part-time | Approximately 24-32 hours/week | Primarily onsite with some remote administrative time Job Overview Life In Balance Osteopathic Medical Center is seeking an experienced Medical Office Lead / Practice Operations Manager to serve as Dr. Gruber's operational right hand. This is not a maintenance-only office manager position. We are looking for someone who enjoys understanding how an organization works, identifying what could work better, and creating practical systems that make the practice more organized, efficient and sustainable. The successful candidate will initially work alongside Dr. Gruber and current staff to learn the practice as it operates today. From there, this person will help document workflows, identify gaps and inefficiencies, improve processes, establish clear procedures, and provide ongoing leadership for day-to-day office operations. This is a hands-on leadership position . The Medical Office Lead will oversee front-office operations while also providing front-desk coverage approximately two days per week and serving as backup during staff vacations or absences. This position does not include bookkeeping, payroll, accounts payable or responsibility for the practice's financial accounting. Primary Responsibilities Learn existing staff responsibilities, workflows and institutional knowledge Document current processes and identify gaps, duplication and inefficiencies Reorganize and streamline office systems and workflows Develop clear, practical procedures and repeatable processes Create appropriate systems for staff accountability and follow-through Manage front-desk staff scheduling and coverage Assist with hiring, onboarding and training front-office staff Provide front-desk coverage approximately two days per week Serve as backup for Receptionist/Patient Care Tech vacation and sick coverage Help maintain efficient patient scheduling, communication and office flow Monitor administrative tasks and ensure appropriate follow-through Coordinate vendors, supplies and inventory Assist with implementation and optimization of office technology and EMR workflows Troubleshoot day-to-day operational problems and develop practical solutions Work directly with Dr. Gruber to identify opportunities to improve practice efficiency and the patient experience The Right Candidate We are looking for someone who: Enjoys puzzling through complicated problems and building practical solutions Is highly organized and naturally sees opportunities to improve systems Takes initiative rather than waiting to be told what needs to be done Works independently and exercises sound judgment Communicates calmly, professionally and confidently Is comfortable recommending changes and explaining the reasoning behind them Can provide leadership while remaining willing to step in and help with everyday office responsibilities Follows projects through to completion Is comfortable learning new technology and improving existing workflows Values a small-practice environment where their work has a visible impact Qualifications Prior medical-office experience strongly preferred Medical-office management, practice-management, supervisory or process-improvement experience strongly preferred Experience developing or improving office workflows, procedures or SOPs is highly desirable Experience supervising, training or onboarding staff preferred Familiarity with electronic medical records and medical-office operations Strong written and verbal communication skills Strong organizational, problem-solving and follow-through skills Ability to maintain confidentiality and appropriately handle protected health information Candidates with experience as a Medical Office Manager, Practice Manager, Assistant Practice Manager, Front Office Supervisor, Lead Medical Assistant or Medical Office Team Lead are encouraged to apply. Schedule & Work Arrangement Approximately 24-32 hours per week The position is primarily onsite while the clinic is seeing patients. Some administrative responsibilities may be completed remotely on designated non-clinic days. The practice has approximately 10 weeks of scheduled clinic closures throughout the year. These closure periods are partially paid. This schedule may be particularly attractive to an experienced medical-office professional seeking meaningful leadership responsibility without a traditional 40-hour-per-week management schedule. Pay:
