This dynamic role combines administrative leadership with logistical management, ensuring smooth communication between clients, vendors, and team members. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, technical proficiency, and a proactive approach to problem-solving. Responsibilities Manage daily office activities, including scheduling, filing, and handling confidential information with discretion. Coordinate and dispatch service teams promptly, ensuring timely response to client requests and job assignments. Oversee vendor relationships, negotiating contracts and maintaining effective communication to support operational needs. Utilize financial software such as QuickBooks for payroll processing, bookkeeping, and budgeting tasks. Maintain accurate records of client interactions, service logs, and financial transactions using spreadsheets and accounting software. Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while managing calendar appointments and client communication. Skills Proven experience in office management or administrative roles within a professional setting. Strong proficiency with Microsoft Office Suite, especially Excel spreadsheets for data management and reporting. Experience with accounting software such as QuickBooks or similar financial tools. Demonstrated ability in vendor management and schedule coordination. Supervising experience with a focus on team management and staff development. Excellent communication skills—both verbal and written—and the ability to handle customer service interactions effectively. Knowledge of human resources functions including payroll processing and confidentiality handling of sensitive information. Technical proficiency in office equipment such as multi-line phone systems, fax machines, and office hardware. Organizational skills that enable efficient calendar management, filing systems, and task prioritization. Experience in non emergency medical transportation office management and dispatch is a plus but not required.
