Role Description The Office Manager is a full-time, hybrid role based in Albany, NY, with mostly work-from-home flexibility with some in-person meetings. This role oversees day-to-day office operations, including making and managing schedules and communicating with drivers and third parties. The Office Manager serves as a central point of contact for internal staff and external partners, responds to inquiries, and supports customer service activities related to transportation services. Responsibilities include executing administrative processes, supporting billing and reporting, dispatching, schedule making, and tacking business operations. The Office Manager will also assist leadership with basic HR and onboarding tasks, support process improvements, and ensure a professional, efficient, and compliant environment.
Scheduling:
You will schedule vehicles to pick up and drop off clients to their medical appointments. You will inform drivers of their assignments for the day and/or week. You must be able to schedule last-minute trip requests and be sure the clients reach their appointments on-time. We have a fleet size of 5 vans and 5 drivers to manage. 40-60 trips on an average per day
Communication:
You will communicate with patients, healthcare providers, and drivers to ensure that everyone is aware of the schedule and any changes that may occur. You will be listening and speaking to people by dispatching software and phone. Your ability to listen, speak plainly and communicate effectively will be necessary. You will work in a fast-paced environment and must be able to multitask, communicate effectively, and manage your time efficiently. You must be organized, detail-oriented, and able to work well under pressure. Qualifications Candidates should possess strong Communication skills, including clear verbal and written communication and professional phone and email etiquette. Candidates should possess Administrative Assistance and Office Administration skills, including scheduling, recordkeeping, file management, and coordinating daily office workflows. Candidates should possess Customer Service skills, including handling inquiries, resolving issues, and supporting a positive experience for clients and partners. Relevant qualifications include prior office management or administrative experience, preferably in healthcare, logistics, or transportation settings. Strong organizational skills, attention to detail, and the ability to manage multiple priorities. A high school diploma or equivalent is required; an associate or bachelor's degree in Business Administration, Healthcare Administration, or a related field is preferred. Compensation Approximate working hours for this role are 7:30 am to 3:30 pm Monday - Friday; this role is almost entirely remote. Annual compensation will be between $40,000 and $45,000 USD per year.
