Job Description

Hive Wellness Collective (https://www.hivewellnessmi.com) is a growing outpatient mental health practice, and we're looking for a part-time Practice Manager to take ownership of the administrative and operational side of the practice. Basically, we need someone who can help make sure the machine is running. This is not a traditional receptionist position. The Practice Manager will oversee the behind-the-scenes systems that keep Hive functioning: billing, SimplePractice, credentialing, payer administration, provider onboarding/offboarding, administrative workflows and supervision of our client-facing admin team. Most importantly, we're looking for someone who can be handed a problem, figure out what needs to happen, and follow it through until it is actually resolved. You do not need to know every answer on Day 1, but we are looking for someone who has the initiative to go find the answer. Because this is a small, collaborative practice, fit matters to us too. This role will work closely with our Practice Owner and clinical leadership team, so we're looking for someone who is easy to communicate with, grounded, self-aware and genuinely enjoyable to work alongside. We tend to gravitate toward low ego, motivated, curious, emotionally intelligent and able to read a room. Someone who can take feedback without becoming defensive, speak up when they see something we should know about, admit when they made a mistake, and laugh when an insurance company inevitably does something completely ridiculous because they absofreakinglutely will. What You'll Own Billing

+ Revenue Cycle You'll help make sure Hive is billing accurately and actually getting paid for the services we provide. This includes monitoring claims, investigating denials or rejections, following up on unpaid claims, reviewing account discrepancies, resolving billing errors, monitoring outstanding balances and identifying patterns that may point to a larger problem. We're looking for someone who thinks: "That doesn't look right. I'm going to figure out why." SimplePractice / EHR Administration You'll serve as the primary administrative owner of our EHR, SimplePractice. Responsibilities may include new provider setup, permissions, billing configuration, troubleshooting, reporting, maintaining accurate provider/payer information and investigating administrative or billing discrepancies within the system. If something is set up incorrectly or simply doesn't make sense, this role owns figuring out what happened and getting it corrected. Credentialing

+ Insurance Payer Administration You'll manage the ongoing administrative side of provider credentialing and enrollment, including: CAQH Commercial payer applications Medicare/Medicaid enrollment as applicable Recredentialing Provider rosters Effective-date tracking Payer follow-up Provider additions and terminations Directory corrections Provider demographic updates Maintaining an accurate payer/provider credentialing matrix Sometimes that means completing an online application. Other times that means calling Provider Relations three times. Sometimes an insurance company sends us an absurd spreadsheet and someone simply needs to own getting it completed. That someone will be you. Provider Onboarding

+ Offboarding Once Hive decides to hire a provider, the Practice Manager owns getting the administrative pieces across the finish line. That includes coordinating the formal offer process, onboarding with our payroll processor, gathering required employment paperwork, collecting information/documents needed for credentialing, getting the new team member set up in SimplePractice, Hive email/system access, CAQH and payer enrollment, administrative onboarding checklists and administrative closeout when a provider leaves. Administrative Team Oversight Our Client Care team handles the majority of phones, new inquiries, scheduling, intake coordination, benefits checks, paperwork follow-up and routine client communication. The Practice Manager will supervise and support that team, help establish clear workflows, answer non-routine administrative questions, monitor accuracy and make sure things are actually being followed through. Practice Operations Healthcare practices come with plenty of important work that doesn't fit neatly under "billing" or "scheduling." You may be asked to pull reports, maintain compliance trackers, organize provider files, research payer requirements, update an SOP, build a better tracking system, coordinate a vendor issue, compare records for discrepancies or gather the information leadership needs to make a decision. A large part of this role is being able to hear: "We need this accomplished" and independently determine the steps needed to get there. You'll Probably Be Great at

Are highly organized without needing someone else to organize you Notice when something doesn't look right and want to understand why Are comfortable digging into unfamiliar problems Are naturally curious and willing to learn instead of pretending you already know everything Are motivated and take initiative without needing constant direction Are confident without having a giant ego Can receive feedback, own mistakes and adjust without becoming defensive Have good judgment and know when to handle something independently versus when to pull someone else in Are warm, approachable and easy to talk to Can communicate directly without being harsh or overly corporate Can work closely with different personalities Are politely persistent with insurance companies ;) Like systems, checklists, spreadsheets and making messy processes cleaner Think about how to prevent a recurring problem instead of fixing it for the tenth time Take pride in actually finishing things Have a sense of humor, because healthcare administration will definitely test it Experience We'd Love Experience in behavioral health, medical practice administration, healthcare billing, insurance or private-practice operations is strongly preferred. Experience with any of the following is especially helpful: SimplePractice Behavioral health billing CAQH Commercial insurance credentialing Medicare/Medicaid enrollment Payer portals Revenue-cycle management Healthcare administrative compliance Previous management experience is helpful, but we care more about how you think, how you problem-solve and whether you take ownership than we do about a specific past job title. Because Hive is a healthcare practice, strong attention to confidentiality, privacy and HIPAA requirements is essential. Schedule This role will begin at approximately 15-20 hours per week , with the potential for hours to grow as the practice and position develop. Regular weekday availability is necessary because much of the work involves staff, insurance companies, payer representatives and other organizations operating during normal business hours. There is some flexibility in how weekly hours are structured. Compensation $25-$28/hour, depending on directly relevant experience. Candidates with significant behavioral-health billing, credentialing and SimplePractice experience may be considered at a higher rate.
