•32 per hour, based on experience About Clove Counseling Clove Counseling PLLC is a growing private mental health practice located in Aurora, Illinois. We provide compassionate, client-centered therapy to individuals, couples, children, adolescents, and families. As our practice continues to grow, we are looking for a Practice Manager who can help strengthen our day-to-day operations, support our clinicians, and help create systems that allow Clove to continue growing in a thoughtful and organized way. This position is ideal for someone who is organized, proactive, personable, and comfortable working in a growing mental health practice. We are looking for someone who doesn't simply wait to be told what needs to be done, but can identify needs, solve problems, follow through, and communicate effectively. Position Overview The Practice Manager will work closely with the owner/director to oversee the day-to-day administrative and operational needs of Clove Counseling. This person will serve as an important point of support for our clinicians and administrative team while helping ensure that practice systems, communication, onboarding, referrals, and other operational responsibilities are running smoothly. The ideal candidate is someone who can balance organization, people skills, accountability, and initiative . Key Responsibilities Practice Operations Assist with the day-to-day operations of the practice Help maintain organized and efficient administrative systems Identify operational needs and bring potential solutions to the owner/director Help ensure practice policies and procedures are being followed consistently Assist with maintaining office organization and addressing building/office needs Help coordinate meetings, staff activities, and other practice initiatives Assist with special projects as the practice continues to grow Clinician Support Serve as an administrative and operational resource for clinicians Help clinicians navigate practice procedures and administrative questions Assist with clinician onboarding and ensuring required onboarding tasks are completed Follow up on outstanding paperwork, documentation, and administrative requirements Help monitor clinician needs and communicate concerns to the owner/director Assist with maintaining consistent expectations across the clinical team Caseload & Growth Support Help identify opportunities to support clinician caseload growth Assist with referral tracking and follow-up Help connect clinicians with appropriate community referral sources Support outreach efforts with pediatricians, physicians, schools, childcare centers, psychiatric providers, and other community organizations Assist with developing and maintaining referral relationships Help track practice growth and identify areas where additional outreach may be beneficial Administrative Coordination Assist with communication between clinicians, billing, administrative staff, and the owner/director Help track outstanding administrative tasks Follow up with team members when action items need to be completed Assist with scheduling and coordination when needed Help ensure new client processes are completed appropriately Assist with maintaining accurate internal records and organizational systems Team & Culture Help foster a positive, collaborative, and professional work environment Support communication and accountability among team members Help coordinate staff meetings and team-building activities Assist the owner/director in identifying ways to improve staff experience and practice culture Maintain professionalism and confidentiality when handling sensitive practice information What We're Looking For The ideal candidate will be: Highly organized and detail-oriented A strong written and verbal communicator Comfortable communicating with clinicians, clients, referral partners, and business professionals Proactive and able to work independently Comfortable taking initiative and solving problems Able to prioritize multiple responsibilities Reliable and consistent with follow-through Comfortable holding others accountable in a professional and respectful manner Discreet and trustworthy when handling confidential information Comfortable learning new systems and technology Interested in helping a growing business develop and improve Preferred Qualifications Bachelor's degree preferred Experience in healthcare, mental health, private practice, medical office management, or a related field preferred Previous administrative, operations, management, or practice-management experience preferred Experience working with electronic health records or practice-management systems is a plus Experience working in a behavioral health or healthcare environment is a strong plus A mental health license is not required for this position. Technology The Practice Manager should be comfortable learning and working with technology and administrative systems. Experience with platforms such as SimplePractice, Google Workspace, payroll systems, scheduling platforms, and electronic health records is helpful but not required. Schedule This is a part-time position of approximately 20-25 hours per week . The schedule will include regular in-person time at our Aurora office, with some flexibility for administrative work that can be completed remotely. Because this position supports the day-to-day operations of the practice, the ideal candidate will be available during regular business hours and able to attend occasional staff meetings or practice events.
