Job Description

Practice Manager
  • Plastic Surgery Lake Norman Plastic Surgery
  • Huntersville, NC Part-time | Approximately 20-25 hours/week | Hybrid $38
  • 45/hour, depending on experience Job Summary Lake Norman Plastic Surgery is a growing physician-owned plastic surgery practice providing cosmetic and reconstructive surgical care.
We are seeking an experienced, highly organized Practice Manager to take ownership of the administrative, financial, human-resources, and operational functions of the practice. This is a hands-on management role for someone who can independently supervise staff, manage systems and reporting, oversee financial and revenue-cycle workflows, solve operational problems, and bring recommendations to the physician-owner. This is not primarily a front-desk or scheduling position. Key Responsibilities
  • Manage payroll, employee timekeeping, PTO, staff scheduling, and related administrative processes.
  • Provide day-to-day leadership, supervision, and accountability for administrative and clinical support staff.
  • Manage employee onboarding, training, performance reviews, coaching, HR documentation, and routine personnel issues.
  • Maintain organized and confidential personnel files and required employee documentation.
  • Prepare and coordinate weekly team meetings, assignments, and follow-up.
  • Maintain and oversee surgery, cosmetic consultation, deposit, scheduling, and performance-tracking systems.
  • Prepare concise weekly and monthly operational and management reports for the physician-owner, including key performance indicators, revenue-cycle issues, staffing matters, major expenses, vendor issues, and other items requiring attention. Coordinate with the accountant/bookkeeper as needed, without duplicating formal financial reporting.
  • Oversee revenue-cycle performance and the external billing service, including accounts receivable, denials, unresolved claims, authorizations, patient balances, and recurring payer issues.
  • Coordinate with accounting, payroll, billing, insurance, and other outside professional services.
  • Manage accounts payable, monitor operating expenses, and assist with budgeting and financial oversight.
  • Manage vendor relationships, contracts, subscriptions, and renewals; periodically obtain competitive quotes and renegotiate pricing when appropriate.
  • Oversee supply inventory, purchasing, and cost control.
  • Oversee practice technology and office devices, including computers, printers, scanners, phones, tablets, networking equipment, and related systems; coordinate troubleshooting, maintenance, replacement, and outside IT support as needed.
  • Coordinate facility, equipment, preventive-maintenance, inspection, and repair needs.
  • Maintain credentialing, licensing, HIPAA, OSHA, and other administrative compliance requirements.
  • Develop, maintain, and periodically audit office policies, protocols, workflows, and standard operating procedures.
  • Monitor key practice performance indicators, identify operational inefficiencies, and independently implement or recommend solutions.
  • Address routine patient-service and operational problems before escalation to the physician-owner. Technology Skills
  • Essential This is a highly technology-dependent practice. Strong digital skills and the ability to learn new systems independently are essential.
  • Strong Microsoft Excel skills, including sorting, filtering, formulas, reporting, and organization of large spreadsheets.
  • Comfort with Microsoft 365, electronic health record and practice-management systems, payroll and accounting platforms, cloud-based documents, online banking/payment systems, patient-messaging platforms, and web-based insurance and credentialing portals.
  • Comfort working in an Apple/Mac-based environment is required. The Practice Manager must be able to work independently with Mac computers, iPhone/iPad devices, printers, scanners, and cloud-based applications, and coordinate routine troubleshooting or outside IT support as needed.
  • Experience with ModMed/EMA, QuickBooks, or similar systems is helpful but not required.
  • Ability to troubleshoot routine workflow and device issues and coordinate with outside IT support when needed. Qualifications
  • Minimum of 5 years of progressive medical-practice administrative or management experience preferred.
  • Bachelor's degree in Business Administration, Healthcare Administration, Management, Finance, Accounting, or a related field preferred; equivalent education and substantial relevant experience will be considered.
  • Demonstrated experience supervising employees and managing staff performance.
  • Experience with payroll, HR administration, accounts payable, accounts receivable, and medical-practice financial workflows.
  • Working knowledge of medical billing and revenue-cycle management.
  • Excellent organizational, project-management, written, and verbal communication skills.
  • Ability to maintain confidentiality regarding employee, financial, and patient information.
  • Ability to work independently, make sound operational decisions, and bring proposed solutions rather than simply escalating routine problems.
  • Experience in plastic surgery, dermatology, aesthetics, surgery, or another physician-owned specialty practice preferred but not required.
Schedule Approximately 20-25 hours per week initially. The position will combine onsite and remote work. A regular Friday onsite administrative day is anticipated, with other onsite hours varying according to practice needs. The manager should have sufficient flexibility to periodically work during active clinic days to observe workflows, meet with employees, and address operational issues. Hours may expand as the practice grows. Compensation and Benefits $38
  • 45 per hour, depending on experience and qualifications.
Candidates with substantial medical-practice management, revenue-cycle, HR, financial-management, and advanced technology experience will be considered toward the upper end of the range. Employee discount on products and services.
