Overview We are seeking a dynamic and highly organized Medical Office Manager to lead the daily operations of our healthcare practice. This vital role combines strategic oversight with hands-on management, ensuring seamless clinic functioning, exceptional patient care, and compliance with healthcare regulations. The ideal candidate will bring a proactive approach, strong leadership skills, and extensive experience in medical office management to foster an efficient, patient-centered environment that supports staff excellence and operational success. Duties Oversee all administrative functions within the medical practice, including scheduling, patient management, and staff coordination to ensure smooth clinic operations. Manage financial aspects such as budgeting, billing processes, medical billing, and fiscal management to optimize revenue cycle performance. Supervise healthcare staff including medical administrative support personnel; foster a collaborative team environment through effective human resources practices. Ensure compliance with health regulation policies such as
HIPAA, JCAHO
standards, and managed care requirements while maintaining accurate medical records and electronic health records (EHR) systems like Epic, eClinicalWorks, or Dentrix. Oversee the use of patient management software and EMR/EHR (Athena Health) systems to streamline patient intake, documentation, and data security. Maintain knowledge of healthcare practice management principles including clinic experience, hospital experience, acute care, critical care experience, utilization management, and healthcare regulation policies. Coordinate with providers on medical management activities such as medical terminology accuracy, medical billing procedures, and ensuring adherence to healthcare standards. Lead efforts in office management including managing teams as a healthcare practice manager, implementing policies for compliance and quality assurance. Facilitate communication across departments to improve customer service levels while managing patient inquiries efficiently. Onboard, retrain and terminate staff Order office supplies/find the best value Manage EMR (Athena). Quarterly meetings with EMR to review the overall practice health (payments in hold, meeting Medicare requirements) Insurance processing. Initial credential application/In-Network requests. Insurance maintenance (re-credentialing, and follow-up on claims denied). Seek clarification for any received insurance memos. Office letters and Memos Experience Proven 2 years or more experience in medical office management or healthcare practice management with a strong background in clinic office environments. Demonstrated supervisory experience managing multidisciplinary teams within a healthcare setting. Extensive knowledge of EMR/EHR systems such as Athena Health; proficiency in Microsoft Office Suite is essential. Familiarity with fiscal management including budgeting, financial reporting, and managing revenue cycles through billing and coding processes. Strong understanding of healthcare regulations including HIPAA compliance and JCAHO accreditation standards. Knowledge of medical terminology, medical records handling, and health regulation policies to ensure accurate documentation and legal compliance. Prior exposure to acute care or critical care settings will be considered an asset for this role.
