Our ideal candidate has a minimum of 1-2 years of medical-office management or supervisory experience , enjoys leading a team, and is willing to learn the frontline work that keeps a clinic running smoothly. You should be equally comfortable coordinating staff, resolving an operational problem, and stepping in to help when coverage is needed. You will initially work closely with our Office Manager to learn our practice, support daily operations, and develop familiarity with our administrative and clinical workflows. Following training and demonstrated readiness, you will assume day-to-day operational responsibility for our clinic while continuing to report to the Office Manager. Over time, you will also learn the essential practice-management functions needed to provide reliable coverage during the Office Manager's absence. This is a working-management role. We are looking for someone who leads by example, follows through on commitments, and sees understanding the team's work as an important part of managing effectively. Primary Responsibilities Manage daily clinic operations. Coordinate administrative and clinical workflows, support patient flow, address routine operational problems, and help ensure the clinic is prepared for each day. Supervise and support staff. Coordinate daily assignments, coverage, and task completion. Provide clear direction, coach employees, reinforce expectations, and address or escalate staffing and performance concerns in collaboration with the Office Manager. Support onboarding and training. Help new employees learn their responsibilities, reinforce established procedures, and identify areas where additional training or clarification is needed. Resolve patient and administrative concerns. Help address scheduling, referral, medical-record, insurance, and billing concerns by coordinating with the appropriate employees, providers, or outside partners. Recognize when an issue requires escalation. Maintain operational readiness and follow-through. Monitor office and clinical supplies, coordinate approved orders, and help prevent shortages. Maintain organized tracking systems for assigned tasks, coverage needs, and practice projects. Improve workflows and maintain consistency. Identify recurring problems, recommend practical solutions, and help implement consistent procedures across both locations. Assist with audits, documentation requests, and other operational projects as assigned. Provide hands-on support and management coverage. Step into frontline responsibilities when appropriately trained and needed for coverage. Develop the knowledge and judgment to manage the second clinic's daily operations and provide backup for the Office Manager. Initial Cross-Training and Occasional Coverage We believe an effective manager should understand the work they supervise and be able to help when needed. You will receive hands-on training in front-desk operations, scheduling, clinical workflows, and the administrative processes that support patient care. During cross-training and the initial staffing transition, you will learn and perform work in these areas: Billing and Documentation Follow-Up Learn how to communicate with our outside billing company; review encounters for missing or incomplete charges; coordinate follow-up on claim corrections, denials, reimbursement issues, and billing discrepancies; and track unsigned or incomplete provider documentation for appropriate follow-up. Insurance Verification and Prior Authorizations Learn how to verify eligibility and benefits for visits, testing, procedures, immunotherapy, and medications. Receive training in submitting and tracking prior authorizations, appeals, and requests for additional clinical documentation in coordination with the clinical team. Biologic and Specialty Medication Coordination Learn the workflows for authorizations, ordering, delivery, inventory, billing, and reimbursement follow-up, including communication with insurance companies, specialty pharmacies, manufacturers, distributors, and other vendors. Occasional front-desk and other operational coverage will also remain part of the position. Any hands-on clinical duties will be limited to responsibilities for which you have appropriate training, demonstrated competency, and supervision. Qualifications At least one year of medical-office management or supervisory experience. Experience coordinating staff, managing daily workflows, training employees, and resolving problems in a medical-office setting. Strong organization, communication, attention to detail, and follow-through, with the ability to prioritize competing needs and work independently within established policies. Comfort using electronic health records, practice-management systems, and basic spreadsheets or tracking tools. A willingness to learn frontline responsibilities, accept feedback, support coworkers, and provide hands-on coverage when needed. Experience with allergy care, insurance verification, prior authorizations, billing follow-up, or specialty medications is helpful but not required . Training in these workflows will be provided. A college degree is preferred but not required. We value relevant experience, sound judgment, accountability, and demonstrated leadership ability. Growth and Development You will begin by learning our workflows and supporting the Office Manager. As you demonstrate competency and readiness, you will assume greater responsibility for the clinic's daily operations. You will continue to report to the Office Manager as your responsibilities expand. We are looking for someone interested in building a long-term role with the practice.
