Office Manager Ellery Arbor | Full-Time Join Our Team! Ellery Arbor is looking for an organized, detail-oriented Office Manager to coordinate accounting and business office operations for our community, working closely with our Executive Director and corporate HR and accounting staff. This role oversees accounts payable/receivable, payroll, and resident billing, while also leading our front desk staff and supporting the Executive Director with administrative and resident service needs. What You'll Do Financial & Accounting Operations Process and submit approved invoices in a timely manner, following company timelines and guidelines Disburse checks promptly and maintain accurate accounts payable and accounts receivable records Generate resident statements, post collections, and manage rent collection and deposits Safeguard all monies held by the community, including rent payments, petty cash, discretionary accounts, meal receipts, and store revenues Generate payroll, distribute paychecks, and maintain PTO records for all associates Operate the department within budget and support other managers with budget-related questions Recruit, hire, train, and lead our front desk/concierge staff, and support the same efforts community-wide Create and maintain confidential electronic personnel files in accordance with company guidelines Supervise front desk staff and serve as Manager on Duty (MOD) as needed Be a friendly, responsive resource for residents and families, especially regarding billing and accounting questions Listen to and resolve concerns quickly and effectively Provide administrative support to the Executive Director and submit reports as needed Partner with the management team on community marketing and day-to-day operations What We're Looking For High school diploma or equivalent preferred Strong accounts payable/receivable and payroll experience required 1-2 years of experience in bookkeeping, office management, or a coordinator-level role HR experience or familiarity with associate benefits is a plus Property management software experience is a plus, but not required Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint) Excellent verbal and written communication skills — you're comfortable talking with residents, families, vendors, and coworkers alike A valid driver's license in good standing, meeting company driving standards Ability to pass a company and state-required background check Ability to complete a health screening and TB/chest X-ray clearance per state requirements A Bit About the Environment This role is based in our assisted and/or independent living community and general office setting. It's an active position — you'll be on your feet, moving throughout the community, and occasionally lifting up to 50 lbs.
