Job Description

Southwest Medical Group is seeking an experienced, highly organized, and proactive Practice Operations & HR Manager to oversee key administrative, human resources, facilities, and operational functions within our growing medical practice. This is a hands-on leadership position for someone who enjoys creating structure, solving problems, managing people and processes, and ensuring that the day-to-day operations of a busy medical practice run efficiently. Key Responsibilities Human Resources & Employee Management Coordinate recruiting, interviewing, and hiring of employees Manage the new-hire onboarding process from offer through orientation Coordinate employee offboarding and terminations Maintain employee personnel documentation and ensure required records are complete Assist with employee relations, performance management, corrective actions, and disciplinary documentation Coordinate annual and introductory-period employee reviews Monitor employee attendance, PTO, and other employment-related requirements Assist leadership with implementation and enforcement of company policies and procedures Serve as a day-to-day resource for employees regarding HR-related questions Work with leadership to address staffing needs and operational concerns Practice Operations Oversee day-to-day administrative operations of the practice Identify operational issues and proactively develop solutions Help implement systems, policies, and workflows that improve efficiency and accountability Coordinate projects and operational initiatives assigned by executive leadership Ensure administrative processes are followed consistently throughout the practice Support communication between leadership, managers, employees, and outside partners Facilities Management Oversee the general condition and operational needs of practice facilities Coordinate repairs, maintenance, inspections, and facility-related projects Serve as the primary point of contact for maintenance personnel, cleaning crews, and other facility vendors Monitor facility issues and ensure they are resolved in a timely manner Coordinate office supplies, equipment, and operational purchasing as needed Vendor Management Maintain relationships with outside vendors and service providers Coordinate services with cleaning companies, maintenance providers, contractors, suppliers, and other vendors Review vendor performance and address service-related concerns Assist with obtaining quotes and evaluating vendors when new services are needed Maintain vendor agreements, service information, and related documentation Work with accounting and leadership regarding invoices, expenses, and vendor-related charges Compliance & Administrative Support Assist with maintaining required employee licenses, certifications, training, and documentation Support compliance with internal policies and applicable healthcare/employment requirements Maintain organized records and administrative systems Assist executive leadership with special projects and operational initiatives as assigned Qualifications Bachelor's degree in Business Administration, Healthcare Administration, Human Resources, Management, or a related field preferred; an equivalent combination of education and relevant professional experience will be considered Minimum 5 years of progressive management, operations, or Human Resources experience, preferably within a medical practice, healthcare organization, or similar professional environment Experience with Human Resources functions, including recruiting, hiring, employee onboarding and offboarding, employee relations, performance management, corrective action, and policy implementation Experience managing vendors, facilities, maintenance services, and other operational relationships Previous experience supervising employees and managing day-to-day administrative or practice operations Strong leadership, interpersonal, and problem-solving skills Excellent organizational skills with a demonstrated ability to prioritize, follow through, and manage multiple responsibilities in a fast-paced environment Ability to identify operational issues independently, take initiative, and drive matters through resolution Ability to handle confidential employee, patient, and business information with professionalism and discretion Strong written and verbal communication skills Proficient with Microsoft Office and comfortable learning HR, practice-management, payroll, and other business systems Experience working in a multi-provider or multi-department healthcare environment preferred SHRM-CP, SHRM-SCP, PHR, SPHR, or similar Human Resources certification is a plus but not required Ideal Candidate The ideal candidate is someone who does not need to be micromanaged. We are looking for a professional who takes ownership, follows through, communicates proactively, and understands how to manage both people and processes. This individual should be comfortable moving between employee matters, recruiting, onboarding, vendor issues, facility concerns, administrative projects, and daily operational needs while maintaining professionalism and organization. Compensation Salary:
