Job Description

Overview The Business Office Team Leader oversees daily front‑office and revenue cycle operations in a rural health clinic setting. This role provides hands‑on leadership to ensure accurate billing, efficient patient flow, regulatory compliance, and exceptional customer service. The Team Leader supports both administrative and clinical teams by coordinating communication, optimizing processes, and maintaining a high‑performing business office. Duties Leadership & Team Management Lead and supervise the business office team, providing guidance, training, coaching, and performance feedback to support operational excellence. Support onboarding of new team members by providing training on systems, workflows, and best practices. Foster a positive, collaborative work environment that promotes accountability and continuous improvement. Front Office Operations Oversee patient scheduling to ensure provider availability is optimized and patient needs are met. Manage patient check‑in and check‑out processes, ensuring accuracy in demographics, insurance verification, and collection of copays or balances. Ensure front‑office staff deliver professional, compassionate service to all patients. Revenue Cycle & Financial Processes Oversee financial transactions including billing, invoicing, payment posting, and expense processing with accuracy and compliance. Monitor and support completion of prior authorizations for medications, imaging, procedures, and specialty services. Manage referral processing, ensuring timely coordination with external providers and accurate documentation. Ensure all insurance requirements, coding guidelines, and regulatory standards are followed. Administrative & Operational Support Manage administrative tasks such as record keeping, data entry, document management, and scanning with precision and attention to detail. Coordinate communication between clinical, administrative, and external departments to maintain smooth workflow and resolve operational issues promptly. Maintain up‑to‑date knowledge of clinic policies, payer rules, and regulatory requirements. Performance Monitoring & Process Improvement Monitor key performance indicators (KPIs) related to scheduling efficiency, billing accuracy, authorization turnaround times, and patient flow. Identify workflow gaps and implement improvements to enhance productivity and patient experience. Ensure adherence to organizational policies, procedures, and compliance standards at all times. Skills Experience in a medical office, rural health clinic, or similar healthcare setting. Knowledge of insurance verification, prior authorizations, referrals, and basic medical billing. Strong leadership, communication, and problem‑solving skills. Proficiency with EHR systems and practice management software.
