We are seeking an experienced bilingual Office Manager / Treatment Coordinator who can lead operations in a fast-paced, high-volume, multi-provider environment. The ideal candidate understands both the clinical and business side of dentistry and can help drive office performance, patient experience, operational efficiency, and financial growth. Position Overview The Office Manager / Treatment Coordinator will oversee the day-to-day operations of a busy dental office while supporting treatment acceptance, revenue cycle management (RCM), team leadership, and patient flow. This role requires strong operational knowledge, leadership ability, advanced Open Dental experience, and a deep understanding of how front-office systems directly impact collections, production, profitability, and overall business performance. Candidates must be comfortable managing a fast-paced environment and balancing patient care with operational accountability. Key Responsibilities Office Operations & Leadership Manage daily operations of a high-volume, multi-provider dental practice Supervise, coach, schedule, and develop a team of 6-8 staff members Maintain efficient workflows and patient flow throughout the office Ensure front-office systems support practice growth and profitability Coordinate with owner doctors and remote teams including billing, bookkeeping, and marketing Monitor and improve office systems, processes, and accountability Revenue Cycle Management (RCM) Oversee collections, accounts receivable, insurance follow-up, and scheduling Manage the full RCM process from patient intake through payment collection Understand and track the relationship between production, collections, and profitability Assist leadership in driving operational KPIs and office performance metrics Support financial goals through improved efficiency and case acceptance Treatment Coordination Present treatment plans confidently and professionally Educate patients regarding treatment recommendations, financing, and insurance coverage Improve case acceptance and patient follow-through Verify and explain both in-network and out-of-network insurance benefits Coordinate treatment scheduling and patient retention efforts Practice Performance & Reporting Run and interpret reports using Open Dental and other practice software Track KPIs related to collections, production, scheduling efficiency, and new patient growth Understand how operational decisions affect business performance and EBITDA Help optimize systems that improve profitability and patient experience Required Qualifications 5+ years of dental office management experience 3+ years of PPO and/or fee-for-service dental experience Expert-level proficiency with Open Dental software Experience in a high-volume, multi-provider dental office Strong understanding of both in-network and out-of-network dental insurance Experience managing Revenue Cycle Management (RCM) processes Proven treatment presentation and case acceptance experience Experience supervising teams of 5+ employees Ability to thrive in a fast-paced environment Strong leadership, communication, and organizational skills Fluent in English and Spanish Understanding of how operations impact collections, production, and overall business performance Preferred Qualifications EBITDA knowledge or experience tracking profitability metrics Experience with Practice by Numbers and Overjet Fee-for-service practice background Strong operational systems and process management experience Experience with patient financing arrangements Dealbreakers Candidates will not be considered if they lack: Dental operations experience Understanding of processes within a dental practice Experience managing high-volume office workflows Knowledge of insurance coordination and RCM Hands-on Open Dental experience Skills & Expertise Dental office operations Open Dental software Revenue Cycle Management (RCM) PPO & Fee-for-Service dentistry In-network & out-of-network insurance Treatment coordination Case acceptance Accounts receivable & collections KPI reporting Production & collections analysis Multi-provider scheduling Team leadership New patient flow management Operational efficiency Bilingual Spanish communication Ideal Candidate We are looking for a positive, trustworthy, and experienced dental leader who understands both patient care and practice operations.
