Private Prosthodontic Practice - Charlottesville, Virginia About the Practice We are an established, patient-focused prosthodontic specialty practice in Charlottesville, Virginia, seeking an experienced and highly organized Dental Office Manager to oversee the day-to-day administrative and business operations of our practice. Our office provides advanced restorative and prosthodontic care, including dental implants, crowns and bridges, dentures and implant-supported prostheses, esthetic dentistry, and complex full-mouth rehabilitation. We utilize modern digital dental technology and work closely with referring dentists and specialists to coordinate comprehensive patient care. We pride ourselves on providing exceptional clinical care in a professional, welcoming environment and are looking for an Office Manager who shares those standards. The Position This is a hands-on leadership position for someone who can effectively manage the people, systems, scheduling, finances, and daily operations of a busy specialty dental practice. The ideal candidate is confident, dependable, organized, professional, and comfortable holding team members accountable while maintaining a positive and respectful workplace. This position requires someone who can see what needs to be done, establish priorities, solve problems, and follow through without requiring constant direction.
Key Responsibilities Responsibilities will include:
Oversee daily administrative and business operations of the practice Lead, supervise, support, and hold team members accountable Coordinate staff schedules, attendance, PTO, and office coverage Assist with recruiting, interviewing, onboarding, training, and employee performance management Conduct or coordinate regular staff meetings and employee reviews Maintain office policies, procedures, systems, and workflows Monitor the patient schedule to maximize productivity while maintaining excellent patient care Oversee scheduling, treatment coordination, and case acceptance processes Monitor accounts receivable, insurance claims, outstanding balances, and collections Ensure insurance estimates, pre-authorizations, and treatment plans are handled accurately and promptly Review practice production, collections, scheduling, and other key performance indicators Help establish and monitor monthly practice goals Identify inefficiencies and implement solutions to improve workflow and productivity Ensure patient concerns and difficult situations are handled professionally and appropriately Maintain HIPAA compliance and appropriate patient confidentiality Coordinate communication with referring dental offices and outside specialists Oversee office supplies, vendors, equipment needs, and administrative purchasing Work closely with the doctor/owner regarding practice operations, staffing, financial performance, and long-term goals Help maintain a professional, accountable, team-oriented office culture Qualifications Dental office management experience is strongly preferred.
The ideal candidate will have:
Previous dental office management or significant dental administrative leadership experience Strong understanding of dental terminology and dental office workflow Experience with dental scheduling, treatment planning, insurance, billing, collections, and accounts receivable Experience supervising and managing employees Excellent organizational and time-management skills Strong written and verbal communication skills Professional judgment and discretion when handling confidential information Ability to address employee performance issues and difficult conversations professionally Strong problem-solving skills and attention to detail Ability to prioritize multiple responsibilities in a fast-paced environment Confidence working independently and making appropriate day-to-day management decisions Strong computer skills and ability to learn new technology Experience with Open Dental software is highly desirable. Experience in a prosthodontic, implant, oral surgery, periodontal, orthodontic, or other dental specialty practice is a plus. Our ideal Office Manager is someone who: Takes ownership of the practice's daily operations Notices problems before they become larger problems Follows through on commitments Holds themselves and others accountable Communicates directly, professionally, and respectfully Is comfortable leading a team while also being willing to help when needed Understands that excellent patient care includes the entire patient experience—from the first phone call through completion of treatment Can balance compassion for employees with the needs and standards of the practice Protects the doctor's time by effectively managing administrative and personnel matters Values accuracy, professionalism, efficiency, and exceptional patient service Schedule Full-Time Monday-Thursday, approximately 8:00 AM - 5:00 PM, Friday 8:00 AM - 12:00 PM Occasional additional time may be necessary for staff meetings, training, or administrative responsibilities.
