•45.00 per hour Virginia Biological Dentistry is seeking an exceptional Patient Experience Facilitator to join our growing fee-for-service practice. This is not simply a front-desk position, but the front desk is an essential and intentional part of the career path . We are looking for a highly capable, polished, motivated professional who can first become deeply proficient in the daily patient-facing and administrative operations of our practice and, over time, develop into the Office Manager for the entire practice within approximately 1-2 years . We do not believe someone can effectively manage a dental practice without first understanding how the practice operates at the patient level. For that reason, the selected candidate will be expected to spend significant time becoming highly competent and comfortable with all aspects of front-office dental operations before assuming broader management responsibility. The goal is not simply to learn individual tasks. It is to develop the judgment, confidence, operational understanding, and credibility necessary to eventually lead the administrative side of the practice. We focus on biological and holistic principles in dental care, biocompatible materials, minimally invasive biometric dentistry, advanced surgical care with all non-metal ceramic implants and biological protocols, and the important relationship between oral health and overall health. Our patients often come to us after substantial research and may be considering complex or significant treatment. They expect knowledgeable guidance, thoughtful communication, organization, responsiveness, discretion, and a high level of service. We are a small, high-performing team, which means every person has a meaningful impact on the patient experience and the success of the practice.

The Foundation of This Role:

Mastering the Front Office Before progressing into practice management, the selected candidate will be expected to become fully proficient in the day-to-day front-office functions of a dental practice . This is an important part of the position and should be viewed as foundational management training. You will need to become comfortable handling both the routine and the unexpected aspects of a busy dental office, including: Welcoming patients and creating a professional, warm first impression Checking patients in accurately and efficiently Checking patients out and ensuring that the next steps in their care are clearly understood Scheduling, rescheduling, and coordinating appointments Managing daily schedule changes, cancellations, late arrivals, and other disruptions Answering phones and responding appropriately to patient questions and requests Communicating with patients in person, by telephone, and electronically Discussing recommended treatment and helping patients understand treatment sequencing and next steps Reviewing fees, payment expectations, financing options, and administrative policies professionally and clearly Following up with patients who are considering treatment Coordinating communication between the patient, doctor, clinical team, and administrative team Maintaining accurate records and completing administrative follow-up Understanding practice policies and applying them consistently Protecting patient privacy and handling sensitive information appropriately Mastering dental terminology, procedures, scheduling requirements, and treatment workflows Understanding how to schedule appointments strategically and efficiently to optimize patient care, clinical team time, and overall practice productivity. Completing the many small but important tasks that allow the front office and clinical team to function smoothly each day In a high-performing dental practice, seemingly small tasks often have a significant effect on patient experience, workflow, collections, scheduling, team efficiency, and clinical care. We therefore value someone who is willing to understand both the large operational picture and the small details that make it work. Handling Challenging Situations An important part of becoming a strong practice leader is learning how to respond effectively when situations are not routine. The selected candidate will be expected to bring the emotional maturity, professional experience, and sound judgment necessary to handle challenging or sensitive situations with professionalism, discretion, empathy, and composure, while helping move conversations and circumstances toward a constructive resolution. Who We Are Looking For We are looking for someone who combines exceptional people skills with strong business instincts . You may already have dental experience, or you may come from another professional environment where you have developed transferable strengths in: Management Business operations Office systems and workflow Sales or consultative sales High-level client service Hospitality Healthcare administration Professional services Business development Relationship management Prior dental experience is welcomed but is not required for an exceptional candidate. However, a candidate entering from outside dentistry must understand that there will be a substantial learning period. Education & Experience We would particularly welcome candidates with a: Strong professional experience demonstrating 5+ years of progressively responsible work in management, office operations, systems, sales, client experience, healthcare administration, or team leadership Bachelor's or Master's degree in Business Administration, Management, Healthcare Administration, Organizational Leadership, Communications, Hospitality Management, or a related discipline A degree is preferred but is not a substitute for demonstrated ability. Accomplished candidates with substantial relevant professional experience are strongly encouraged to apply. Your Path Toward Office Management As you demonstrate proficiency in front-office operations, patient communication, treatment coordination, and our practice systems, your responsibilities will progressively expand. Advancement is based on demonstrated proficiency, judgment, leadership, accountability, and performance—not simply length of employment. Our expectation is that an exceptional candidate could progress toward full office-management responsibility within approximately 1-2 years . Commute & Work-Life Balance We want the person we hire to succeed in this position long term, both professionally and personally. For that reason, we encourage applicants to realistically consider their daily commute before applying. If your normal commute to our Glen Allen office would be longer than approximately 30 minutes each way , we encourage you to carefully consider whether that commute will be sustainable for you with a five-day workweek and our current Monday-Thursday hours extending through 6:00 PM. Reliable and consistent on-site attendance during scheduled working hours is essential.
