Job Description

Overview We are seeking a highly skilled and dynamic Medical Office Manager to oversee the daily operations of our healthcare facility. The ideal candidate will possess extensive medical office experience, strong leadership capabilities, and a comprehensive understanding of healthcare management systems. This role requires a proactive approach to managing staff, financial processes, and compliance with healthcare regulations to ensure the delivery of exceptional patient care and efficient practice management. The Medical Office Manager will serve as the cornerstone of operational excellence, fostering a productive environment that supports both clinical and administrative teams. Responsibilities Lead and supervise administrative staff, including medical administrative support personnel, ensuring smooth daily operations across all departments. Oversee fiscal management activities such as budgeting, financial management, and billing processes utilizing EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems like Eaglesoft, Dentrix, Epic, and eClinicalWorks. Ensure compliance with HIPAA regulations and other healthcare standards related to medical records, patient confidentiality, and security protocols. Manage clinic workflows, including scheduling, patient flow, and resource allocation to optimize efficiency and patient satisfaction. Coordinate with clinical staff on medical management practices, including nursing procedures, acute care protocols, and utilization management strategies. Supervise human resources functions such as hiring, training, performance evaluations, and staff development initiatives. Oversee practice management activities including billing, coding accuracy for managed care plans, and financial reporting to maintain fiscal health. Maintain knowledge of healthcare regulations such as JCAHO standards and hospital experience requirements to uphold accreditation standards. Implement quality assurance measures to improve service delivery while fostering a positive team environment aligned with organizational goals. Skills Extensive medical office experience with proficiency in managing clinical operations within diverse healthcare settings. Strong background in fiscal management, budgeting, and financial oversight specific to medical practices or clinics. Proven supervising experience with the ability to lead multidisciplinary teams effectively. Expertise in EMR/EHR systems such as ModMed, Dentrix, Epic, eClinicalWorks, and other relevant platforms. Deep understanding of HIPAA compliance requirements and medical terminology for accurate recordkeeping. Knowledge of medical records management, billing procedures for managed care plans, and coding standards. Familiarity with healthcare regulations including JCAHO standards and hospital or acute care environments. Excellent organizational skills combined with the ability to multitask efficiently in fast-paced settings. Strong communication skills for effective collaboration with clinical staff, vendors, patients, and regulatory bodies.
