Job Description

Job Overview We are seeking a detail-oriented and highly organized Records Specialist to manage and maintain accurate medical records within our healthcare facility. The ideal candidate will possess a strong understanding of medical documentation processes, proficiency with electronic health record (EHR) systems, and a commitment to ensuring compliance with privacy regulations. As a Records Specialist, you will play a vital role in supporting clinical operations by ensuring that all patient information is accurately recorded, securely stored, and readily accessible for authorized personnel. Your dedication to precision and confidentiality will contribute significantly to the efficiency and integrity of our healthcare services. Duties Completes pre-certs and concurrent reviews as assigned, on appropriate day and by the specified time. Completes write-ups on new admissions and step-downs/step-ups as assigned, along with the "Change Level of Care" form when applicable. Communicates with ARC to gather pre-cert information for new admissions as needed. Enters authorizations into the MIDAS by the end of each business day.
Participates in daily treatment teams:
communicates pertinent payor information, requests, or concerns; gathers information needed for reviews, and facilitates the signing of Medicare forms when applicable. Takes initiative to independently gather additional information for reviews as needed. Calls in discharge information to payor by the end of the business day following discharge, or on day of discharge as required by some payors. Signs patient treatment plans. Communicates to the Director of UR any unplanned or cancelled discharges, denied days, reasons given for underutilized days, and/or any payor-related problems. Facilitates physician reviews promptly when a case is denied. Maintains and updates appropriate records of the UR Department, including UR Worksheets and treatment team notes. Requirements High school diploma or equivalent required Associate's degree or completion of at least 12 college credits preferred Minimum of 1 year experience in a medical office or healthcare setting Strong knowledge of medical terminology, coding practices, EHR systems and healthcare documentation standards. Excellent organizational skills with meticulous attention to detail to ensure data accuracy. Ability to handle sensitive information discreetly while adhering to strict confidentiality protocols. Effective communication skills for collaborating with healthcare providers, administrative staff, and external agencies. Prior experience in medical office administration or health information management is preferred but not mandatory. Knowledge of healthcare privacy laws such as HIPAA is highly desirable.
