The primary responsibility of this position is to independently review case files, analyze medical treatment and damages, prepare medical chronologies, and draft comprehensive settlement demand letters for attorney review. The ideal candidate has direct experience drafting settlement demands for a plaintiff personal injury law firm and understands how to effectively present liability, medical treatment, economic damages, pain and suffering, and the effect of an injury on a client's daily life. This position will also identify, request, and track missing medical records, bills, and other documentation needed to complete assigned demands. Experience using Eve AI for personal injury demand preparation is strongly preferred. Essential Duties and ResponsibilitiesSettlement Demand Preparation Independently review personal injury case files and determine whether they are ready for demand preparation. Review and analyze medical records, bills, diagnostic reports, treatment notes, police reports, photographs, wage-loss documentation, liability evidence, and other supporting materials. Prepare accurate medical chronologies and treatment summaries identifying diagnoses, complaints, objective findings, procedures, treatment progression, restrictions, prognosis, and future-care recommendations. Identify treatment gaps, preexisting conditions, prior similar injuries, subsequent incidents, inconsistent medical histories, causation concerns, and other issues requiring attorney review. Draft clear, persuasive, and factually supported settlement demand letters for attorney review. Present the facts supporting liability in a concise and organized manner. Summarize the client's injuries, medical treatment, recovery, restrictions, and prognosis. Explain how the injuries affected the client's employment, daily activities, family responsibilities, and overall quality of life. Accurately calculate and verify medical expenses, wage loss, property damage, out-of-pocket expenses, and other documented economic damages. Use Eve AI to assist with medical-record review, chronology preparation, and demand drafting when appropriate. Independently verify all Eve AI-generated information against the original source documents and correct inaccurate, incomplete, or unsupported content. Ensure that every factual statement in the demand is supported by the case file and available documentation. Organize demand exhibits and supporting documents according to firm standards. Revise demand letters based on attorney feedback. Maintain consistency with firm templates, writing standards, and quality-control requirements. Complete assigned demands within established production deadlines. Notify the assigned attorney or case manager when a demand cannot be completed because of missing documentation, unresolved treatment, liability concerns, damages issues, or another case-related concern. Medical Records and Billing Requests Identify medical records, bills, imaging reports, wage-loss documentation, and other materials needed to complete assigned demands. Request medical records, itemized bills, diagnostic reports, imaging records, and other supporting documentation from healthcare providers and retrieval vendors. Prepare and submit properly executed authorizations and other required documentation. Track outstanding requests and follow up with providers or vendors as needed. Identify incomplete productions, missing treatment dates, missing bills, billing discrepancies, and other documentation issues. Submit supplemental or corrected requests when necessary. Maintain accurate request dates, follow-up notes, and statuses in the firm's case-management system. Escalate delayed, rejected, incomplete, or unusually expensive requests according to firm procedures. Case Management and Team Coordination Coordinate with attorneys, case managers, medical-records personnel, and other members of the pre-litigation team. Provide updates regarding demand readiness, missing documentation, and expected completion dates. Participate in case-review meetings as requested. Maintain accurate notes, tasks, deadlines, and document locations in the firm's case-management system. Prioritize assignments based on treatment completion, statutes of limitation, insurance limits, attorney direction, and other case needs. Promptly escalate significant medical issues, liability concerns, treatment gaps, prior injuries, causation concerns, or missing evidence. Assist with additional pre-litigation writing, file-review, and case-analysis projects as assigned. Required Qualifications At least two years of experience drafting settlement demands for a plaintiff personal injury law firm. Demonstrated ability to independently prepare personal injury demand letters and supporting demand packages. Strong understanding of the plaintiff personal injury claim process. Experience reviewing and summarizing medical records. Experience preparing medical chronologies or detailed treatment summaries. Strong understanding of medical terminology, treatment progression, causation, damages, and personal injury documentation. Ability to identify important medical findings, treatment gaps, preexisting conditions, inconsistencies, and potential case weaknesses. Excellent writing, grammar, proofreading, and editing skills. Ability to write persuasively while remaining factually accurate and supported by the case file. Strong attention to detail and quality-control skills. Ability to independently manage multiple demand assignments and meet deadlines. Ability to receive and incorporate attorney feedback. Proficiency with Microsoft Word, Outlook, PDF software, and electronic case files. Ability to maintain the confidentiality of client, medical, and firm information. Preferred Qualifications Three or more years of personal injury demand-writing experience. Experience using Eve AI for personal injury demand preparation. Experience handling Illinois personal injury matters. Experience preparing demands involving motor vehicle accidents, premises liability, wrongful death, dog bites, and other personal injury claims. Experience using Smokeball or another plaintiff personal injury case-management system. Experience requesting and tracking medical records and bills. Familiarity with medical billing, liens, wage-loss documentation, insurance coverage, and policy-limit demands. Paralegal certificate, legal-studies education, healthcare experience, or comparable professional training. Bilingual English and Spanish skills are a plus but are not required.
