Job Description

MEDICAL REFERRALS SPECIALIST
Millstone Healthcare is seeking a dependable, detail-oriented Medical Referrals Specialist to join our team. Our practice specializes in federal workers' compensation cases, and we are looking for someone who can coordinate medical referrals while helping patients navigate the administrative requirements of the U.S. Department of Labor's Office of Workers' Compensation Programs (DOL-OWCP).
Key Responsibilities:
Prepare and send referrals to specialists, imaging facilities, physical therapy providers, and other medical facilities. Confirm that referred providers accept federal workers' compensation patients. Follow up with patients regarding the status of the referral. Track outstanding referrals, authorizations, appointments, and medical records. Follow up with providers and patients to ensure recommended care is completed. Assist with
DOL-OWCP
authorization requests (if needed) and related documentation. Assist with diagnosis-expansion requests by gathering medical records, diagnostic reports, job-duty information, and supporting documentation. Upload documents and maintain accurate records in the electronic medical record and applicable workers' compensation systems. Communicate professionally with patients, medical providers, claims examiners, employing agencies, and members of the clinical team. Perform general administrative duties as needed.
Qualifications:
Prior experience in medical referrals, medical administration, workers' compensation, insurance authorization, or case management is preferred. Experience with federal workers' compensation or the
DOL-OWCP
system is strongly preferred. Knowledge of medical terminology, ICD-10 codes, medical records, and referral processes is beneficial. Strong organizational and follow-up skills. Excellent written and verbal communication. Ability to manage multiple cases, deadlines, and outstanding requests. High attention to detail and accuracy. Comfortable using electronic medical records, online portals, email, and standard office software. Ability to maintain patient confidentiality and comply with HIPAA requirements. Dependable, professional, and able to work independently as well as part of a team. The ideal candidate is persistent, organized, and comfortable following a referral or administrative matter through to completion. This position requires someone who understands that federal workers' compensation cases often involve extensive documentation, repeated follow-up, and strict procedural requirements.

$20.00 per hour
