Full Job Description Position Summary:
This position provides analytical and operational support as it relates to all phases of practice integrations as well as Revenue Cycle performance and reporting. Areas of accountability include adaptation and implementation of EMA, AdvancedMD, Flexscan, Phreesia, and other systems utilized including configuration and training with respect to both systems. This position will work in conjunction with the operations team to ensure effective operations of all practices.
Essential Duties and Responsibilities:
System Optimization:
Assist in analyzing current systems and processes, identifying areas for improvement, and working with key stakeholders to implement system enhancements.
Coding Improvement & Optimization:
Work closely with providers to ensure appropriate documentation and coding and effective utilization of EMA coding protocols.
Training & Support:
Develop, deliver, and maintain training programs for employees in the field. Ensure that training materials are clear, relevant, and easy to understand.
On-boarding Providers:
Ensure all Providers are successfully on-boarded with the necessary access and have a foundational understanding of our EMR system.
Workflow Analysis:
Work closely with teams to identify inefficiencies in current workflows, propose solutions, and help implement improvements.
On-the-Ground Support:
Travel to field locations as needed to provide hands-on training and support, ensuring that employees are well-equipped to utilize the system effectively. This includes working side by side with providers on the clinical side as it relates to appropriate documentation and coding.
Documentation:
Create and maintain user manuals, standard operating procedures, and other relevant documentation to ensure a smooth training and support process.
Collaboration:
Partner with IT and operations teams to ensure system changes align with organizational goals and improve efficiency.
Feedback Loop:
Gather feedback from users on system performance, issues, and training effectiveness, and work to make adjustments as necessary.
Continuous Improvement:
Stay current with new technology and system advancements to continuously improve processes and systems. Systems Configuration
  • Creating and updating files to configuration for all systems utilized and maintaining change logs for each as appropriate. IT Support Tracking
  • Works with vendors to resolve system issues by opening tickets or enhancement requests and tracking them through completion. Reporting
  • Ability to navigate and create reports within each system to be utilized by various operations team members as needed or requested.
Page Break Member of the project management team during the implementation process for EMA, AdvancedMD, Flexscan, Phreesia, and other systems utilized. Is a subject matter expert in the area of clinical operations, documentation, and coding. Support change and the development, interpretation, implementation and evaluation of process improvement and quality management activities. Identify/recommend operational improvements as necessary Assist in on-site visits to train, educate, and assess all practice staff as needed. Primary responsibility for provider training. Super User for EMA and Advanced MD to include support of the following tasks: Periodically making sure all AMD product charge codes are in FSMD and vice versa Validating that admin access is appropriately limited Setting the correct time zone and email address for all EMA users Implementing the Kiosk functionality across all practices Implementing patient portal full functionality across all practices Training for new staff Retraining for existing staff Documenting and tracking support issues and enhancement requests Requesting new provider/staff adds to systems Responsible for running and analyzing analytical reports to support the operations team. Developing and delivering training programs in both in-person and virtual formats. Must be able to provide clear and concise training both in person and remotely. Tracking license numbers for each practice and ensuring they are established and termed timely as appropriate. This must remain accurate for invoice reconciliation purposes. Other duties as assigned. Education and/or Experience Requirements Bachelor's degree preferred. Management or supervisory experience preferred. Coding certification required. Five years' experience in a medical office setting; preferably dermatology. Experience being "at the elbow" with providers and working through system issues and optimization. Knowledge, Skills and Abilities Requirements Minimum of three (3) years' experience in physician operations preferred. Experience collaborating with all levels of leadership within an organization Proven verbal, quantitative, financial, and interpersonal skills Demonstrable and effective communicator at all levels In-depth and up-to-date knowledge of medical practice revenue cycle operations. Ability to travel up to 80%, and could be 100% when necessary. Excellent human relations and communication skills. Must possess dependability and commitment to the company mission and vision.
