Public Safety Records Specialist
Job Description
Riley Fire Department is seeking an organized and detail-oriented Public Safety Records Specialist to support the accurate maintenance of departmental records and administrative information. In this role, you will enter, review, organize, and maintain records related to department operations, training, equipment, inspections, and other administrative activities. The ideal candidate is comfortable working with electronic records, spreadsheets, and routine documentation while maintaining a high level of accuracy and confidentiality. What You'll Do Enter and update departmental information in electronic record systems, databases, and spreadsheets. Review reports, forms, and supporting documentation for accuracy and completeness. Maintain organized electronic and physical records in accordance with departmental procedures. Process and file training, inspection, equipment, personnel, and operational documentation. Verify information against source documents and correct or report discrepancies. Update recurring logs, tracking sheets, and administrative records. Prepare routine reports and record summaries for departmental use. Scan, upload, categorize, and archive documents. Assist with retrieving records and documentation when requested by authorized personnel. Track missing or incomplete documentation and coordinate corrections. Maintain confidentiality of departmental and personnel information. Perform general administrative and records-related duties as assigned. Qualifications High school diploma or equivalent required. Previous experience in records management, administrative support, office operations, or a similar role preferred. Strong attention to detail and commitment to accurate recordkeeping. Comfortable performing repetitive, detail-focused computer work. Working knowledge of Microsoft Excel, Word, Outlook, and electronic filing systems. Ability to review information and identify errors or inconsistencies. Strong organizational and time-management skills. Ability to manage multiple assignments and meet established deadlines. Ability to appropriately handle confidential or sensitive information.
