Job Description

Position Summary The Medical Receptionist serves as the first point of contact for patients, visitors, and community partners, creating a welcoming, respectful, and confidential environment for all individuals seeking care. Working within a specialized HIV care setting, the Medical Receptionist demonstrates sensitivity to the unique needs of people living with HIV and other medically underserved populations. The position requires strict adherence to patient confidentiality standards, including HIPAA regulations, while ensuring patients receive timely and compassionate service. Work Schedule & Exceptions This is a full-time position expected to work approximately 32 hours per week. Work is generally performed Monday through Thursday in-office, 9am - 5pm Attendance is essential to this position; employees are expected to be available and ready to perform their duties during all scheduled working hours. Minimum Qualifications High school diploma or equivalent required. One year or more of applicable work experience in a medical setting Professional communication Attention to detail and accuracy Confidentiality and ethical conduct Organization and time management Teamwork and collaboration Cultural humility and sensitivity to HIV-related stigma and barriers to care Current healthcare level CPR certification within 6 months of hire. Supervisory Reporting Structure The Medical Receptionist reports to the Clinic Manager but also takes directions from Program Manager and Office Manager.
SCOPE OF WORK
Greet and assist patients, visitors, and vendors in a professional and welcoming manner. Schedule, confirm, and manage patient appointments. Assist with patient intake packets, consent forms, and clinic paperwork. Documents actions in all required program databases and maintains confidential patient information, ensuring accuracy, completeness, and timely recording. Rooms patients, if needed for medical appointments. Responsible for cleaning and disinfecting exam rooms. Performs rapid HIV testing in compliance with manufacturer's instructions as needed (Training Provided) Travel to work at other Northland Cares locations upon request as benefits Northland Cares. Remains informed of patient status changes through communication with medical staff, laboratories, and case managers. Ensure staff members are kept current on patient status for needed services and office workflow. Contributes to team effort through task accomplishment, facilitation of communication with all clinic employees, and proactively advising supervisor of activities and needs. Maintains security and confidentiality of client information, adhering to all principles of HIPAA. Participates in meetings, as needed, to ensure excellent and efficient documentation, Quality Improvement, Program Management, and teambuilding. Assist with Food/Gas card Tracking and maintaining spreadsheets Other duties as identified by Supervisor and Office Manager. Physical Requirements Sitting, standing, and walking throughout the day for short to moderate periods. Driving distances of up to 2 hours for clinics, meetings, and trainings, is required. Travel to state and national conferences and training is required. Regular use of office equipment such as computers, phones, printers, and copiers. Occasional lifting of 10-50 pounds.
