Job Description

Our Front Office Representatives play a key role in creating a positive experience for our patients, both over the phone and in person. This position involves a variety of responsibilities, including scheduling appointments efficiently and professionally, as well as providing clear and detailed instructions for visits, procedures, and testing. Candidates should be comfortable working both independently and as part of a team, with flexibility to float as needed.
Key Responsibilities:
Provide patients with detailed information and handouts related to upcoming appointments Scan all appointment-related documents into the patient's chart accurately and promptly Ensure daily batch scanning is completed each day Make copies of superbills/encounter forms for billing purposes Prepare and submit billing batches at the end of each day in a timely manner Assist patients with retrieving medical records, ensuring all releases comply with HIPAA regulations Support check-in when needed by: Checking in patients Scanning insurance cards Entering demographics and medical history into the EMR/billing system Sending patient portal invitations Sort and distribute incoming faxes appropriately Scan faxed documents into the correct patient charts Answer backline phone calls and route messages as needed Maintain a professional appearance and demeanor at all times Collaborate effectively with other departments within the practice Participate in staff meetings and ongoing educational activities Perform additional duties as needed to support the team
Qualifications:
Previous medical office experience required; urology experience preferred Strong interpersonal and communication skills with a friendly, patient-focused approach Ability to stay organized and detail-oriented in a fast-paced environment Solid understanding of medical office workflows and procedures Familiarity with insurance carriers and basic medical terminology Commitment to maintaining patient confidentiality at all times
