The Medical Office Phone Operator / Scheduler is the first point of contact for patients calling the clinic. This role is responsible for answering phones promptly, scheduling appointments efficiently, verifying patient information, and providing outstanding customer service while maintaining the confidentiality of patient information.
Key Responsibilities:
- Answer high-volume incoming calls in a courteous and professional manner
- Schedule, reschedule, or cancel appointments based on provider availability and patient needs
- Verify patient demographics and insurance information at the time of scheduling
- Route calls appropriately to clinical staff, billing department, or management when necessary
- Provide accurate information regarding office policies, procedures, and appointment preparation
- Utilize electronic medical records (EMR) and scheduling software (e.g., Cerner, Athena, eClinicalWorks)
- Confirm appointments and make reminder calls as needed
- Maintain a working knowledge of provider schedules, services offered, and visit types
- Follow HIPAA and privacy guidelines strictly in all communications
- Document all calls and scheduling activity in the patient record as needed
- Collecting balances Qualifications:
- High school diploma or equivalent required
- At least 1 year of experience in a medical office or customer service role (medical scheduling preferred)
- Familiarity with EMR systems and multi-line phone systems
- Excellent verbal communication, listening, and customer service skills
- Ability to multitask and remain calm under pressure
- Strong attention to detail and organizational skills
- Bilingual (English/Spanish) a plus, but not required
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Ability to wear a headset for extended periods
- May occasionally need to assist with front desk or patient check-in coverage
