Job Description

We are seeking a professional, highly organized Dental Front Desk Representative to join our multi specialty team. In this role, you will be the first point of contact for our patients, managing everything from greeting and check-ins to scheduling, and insurance coordination. The ideal candidate possesses strong communication skills, handles multitasking with ease, and maintains a warm, welcoming demeanor to ensure excellent patient service.
Core responsibilities:
Greet patients warmly upon arrival and manage the check-in/check-out process. Answer phone calls professionally, triage patient inquiries, and take accurate messages. Assist patients with intake paperwork, digital forms, and office policy consent. Maintain the lobby area to ensure it remains clean, organized, and welcoming. Appointment Scheduling & Flow Optimize schedules for dentists and hygienists to maximize daily productivity. Confirm appointments via phone, text, or email to reduce no-show rates. Manage cancellations by actively filling open time slots from a waitlist. Coordinate patient flow with the back-office clinical staff to minimize wait times. Insurance & Financial Administration Verify insurance benefits and obtain necessary pre-authorizations prior to treatments. Process payments , including copays, deductibles, private payments, and daily cash drawer reconciliation. Present treatment plans and explain financial estimates or payment options to patients. Administrative Support Update digital records with accuracy, including patient demographics and insurance info. Manage correspondence by sorting mail, sending faxes, and handling medical record transfers. Track office inventory and order front-desk administrative supplies as required. Enforce HIPAA compliance to strictly protect patient privacy and confidentiality.
Requirements & Qualifications Education :
High school diploma or equivalent required; associates or administrative certification preferred.
Experience :
1-2 years of experience in customer service, medical reception, or a dental setting preferred.
Software Skills :
Proficiency with dental practice management software Dentrix.
Terminology :
Basic knowledge of dental procedures, hygiene schedules, and ADA dental billing codes.
Soft Skills :
Excellent multitasking, clear verbal communication, and strong attention to detail.
Pay:
$18.00 - $27.00 per hour
