Job Description

California Brain & Spine Center is a neurological rehabilitation clinic focused on patients dealing with conditions such as concussion and post-concussion symptoms, dizziness and balance disorders, migraines, dysautonomia/POTS, and other neurological concerns. Many of our patients come to us after struggling with symptoms for months or years, so the way they are welcomed, communicated with, and supported throughout their care is extremely important. We are a small, growing practice where the front desk plays a major role in both the patient experience and the day-to-day operation of the clinic. This is more than a traditional receptionist position. You will be the first point of contact for many of our patients and will help coordinate their experience from the initial consultation through completion of care. The position also involves administrative responsibilities related to personal injury cases, attorney communication, payments, medical records, and coordination with our clinical team. We are looking for someone who is professional, organized, warm with patients, dependable, and interested in becoming a long-term part of our practice.
Responsibilities:
Answer and manage incoming and outgoing phone calls Schedule consultations, examinations, treatments, and follow-up visits Check patients in and out and maintain an organized front desk Communicate professionally with new and existing patients by phone, email, and in person Collect and process patient payments Prepare superbills and assist with patient billing documentation Assist with Personal Injury cases, including liens, attorney correspondence, payments, records requests, subpoenas, and case follow-up Maintain accurate and HIPAA-compliant patient records Manage front-desk email communication and referral correspondence Follow up with prospective patients and help coordinate scheduling after consultations Maintain supplement and office inventory as needed Coordinate closely with the clinical team regarding patient flow and scheduling Assist with HBOT, PEMF, or other clinic operations during slower front-desk periods after appropriate training Escalate patient concerns or clinical questions to the appropriate provider
Qualifications:
At least 1 year of medical or healthcare front-desk, administrative, or patient-coordination experience preferred Comfortable working with EHR or practice-management systems Strong phone and in-person communication skills Professional and compassionate when interacting with patients Highly organized and detail-oriented Comfortable handling payments, records, scheduling, and multiple responsibilities at once Reliable and able to work independently when needed Strong understanding of patient privacy and HIPAA requirements
Preferred Experience:
Medical, rehabilitation, chiropractic, neurology, or specialty-clinic experience Personal Injury or attorney-office communication Medical records, referrals, or billing experience

Please note:
The starting pay range for this position is $18.00-$20.00 per hour and we are not able to exceed $20.00 per hour at the time of hire. We encourage candidates to apply only if this range is acceptable. Compensation may be reviewed in the future based on performance, growth in the role, and contribution to the practice. Employment may be contingent upon successful completion of a background check in accordance with applicable California law.
