This is a hands-on position. The Office admin will actively handle dental billing, insurance, scheduling, patient accounts, collections, and front-office responsibilities while managing and supporting the front-office team. Our goal is to have a strong, experienced individual who can independently keep both offices running smoothly so our doctors can remain focused on clinical dentistry and patient care. Responsibilities Manage day-to-day front-office operations across both locations. Handle dental billing and insurance claims, including claim follow-up, denials, pre-authorizations, and outstanding insurance balances. Manage patient accounts, collections, statements, and billing questions. Maintain productive doctor and hygiene schedules and proactively fill cancellations and openings and present treatment plans. Manage hygiene recall, patient reactivation, and treatment follow-up. Oversee, train, schedule, and support front-office employees. Monitor employee attendance, performance, and adherence to office procedures. Handle patient check-in/check-out, phones, scheduling, payments, and other front-office functions as needed. Resolve routine patient, billing, scheduling, and administrative issues independently. Coordinate front-office coverage and workflow between both practices. Keep management informed of significant staffing, patient, or operational issues. Qualifications 3+ years of dental front-office experience preferred. Prior Dental Office Manager, Front Office Manager, Treatment Coordinator, or senior dental administrative experience strongly preferred. Strong knowledge of dental insurance, billing, claims, EOBs, pre-authorizations, and accounts receivable. Experience with dental scheduling, collections, and patient accounts. Experience supervising or training front-office employees. Dentrix experience strongly preferred. Strong organizational, communication, and problem-solving skills. Ability to work independently and take ownership of day-to-day operations.
