Job Description
About the Position Harmony Health MD is seeking an exceptional Medical Front Office Coordinator to take primary ownership of our front desk and patient-facing operations. This is not an entry-level position. The successful candidate must remain composed, direct, organized, and effective in a busy primary-care environment with frequent interruptions and competing priorities. Our office sees approximately 35-40 patients each day and receives a high volume of telephone calls and patient requests. This role requires someone who can quickly determine what is most important, communicate clearly, solve problems independently, and keep the front office moving without needing constant supervision. The Medical Front Office Coordinator is often the first and last person a patient interacts with. The right candidate will understand that this is not simply a clerical position. The front desk plays a critical role in the patient experience, the effectiveness of the clinical team, and the overall success of the practice. Primary Responsibilities Welcome patients warmly and professionally and establish lasting relationships with those who visit the practice Manage patient check-in and check-out accurately and efficiently Answer a high volume of incoming telephone calls with confidence, clarity, and sound judgment Schedule appointments and manage patient requests using Athenahealth Communicate directly and professionally with patients, physicians, the Practice Manager, and clinical team members Prioritize multiple simultaneous demands, including patients at the front desk, ringing phones, scheduling needs, messages, and staff requests Identify urgent or time-sensitive matters and ensure they are addressed appropriately Take complete, accurate messages and follow through until the issue is resolved or properly handed off Explain office policies respectfully and confidently, including setting appropriate boundaries and saying no when necessary Collect copays and patient balances and assist with basic insurance verification Maintain accurate demographic, insurance, and patient information Help prevent patients, messages, and unresolved tasks from falling through the cracks Maintain a polished, organized, and professional front-office environment Work collaboratively with the Practice Manager and clinical team during peak periods and complex situations Remain briefly beyond the regular schedule on occasion when the final patient or an unresolved front-office matter requires attention
