Greenwood Village, CO (In-Person) About Us Braincare Performance Center is a veteran-owned outpatient behavioral health clinic specializing in innovative, evidence-based treatments for depression and other mental health conditions. Our mission is to provide compassionate, patient-centered care while delivering exceptional clinical outcomes in a supportive and professional environment. We are seeking a highly organized, proactive, and patient-focused Medical Scheduler / Front Desk Receptionist to join our growing team. We are specifically looking for someone with an upbeat, bubbly personality who brings positive energy into the clinic and helps patients feel comfortable and welcomed from the moment they arrive. The ideal candidate will be energetic, driven, passionate, and motivated. This person should be a natural self-starter and problem-solver who takes initiative, anticipates the needs of patients and team members, and confidently works through challenges without needing constant direction. In this vital role, you will serve as the first point of contact for patients while coordinating appointments, supporting insurance and scheduling workflows, and helping ensure a positive patient experience from the initial inquiry through treatment completion. Position Summary The Medical Scheduler / Front Desk Receptionist is responsible for managing patient scheduling, coordinating communication among patients, providers, and insurance teams, and supporting daily clinic operations. The ideal candidate is detail-oriented, tech-savvy, personable, and able to thrive in a fast-paced healthcare environment. This position requires someone who is passionate about helping others, takes ownership of their responsibilities, and approaches each day with enthusiasm and a solutions-focused mindset. The right candidate will have excellent customer service skills, strong organizational abilities, and the capacity to manage multiple priorities while maintaining professionalism, accuracy, confidentiality, and a positive attitude. ResponsibilitiesPatient Scheduling and Coordination Schedule patient consultations, evaluations, and treatment appointments using the clinic's Electronic Medical Record (EMR) system. Coordinate schedules among patients, providers, and clinical staff to optimize provider availability and clinic efficiency. Confirm appointments and communicate treatment instructions through phone, email, and patient messaging systems. Monitor appointment schedules and proactively address cancellations, rescheduling needs, and scheduling conflicts. Take initiative to identify scheduling concerns and develop practical solutions. Maintain consistent communication with patients throughout the scheduling and treatment process. Insurance and Administrative Support Verify patient insurance eligibility and benefits. Communicate effectively with patients, care coordinators, insurance teams, and providers regarding authorization and scheduling requirements. Assist with insurance-related documentation and administrative processes. Support billing and claims-related workflows as needed. Identify incomplete or missing information and proactively work to resolve it. Follow established processes while remaining adaptable when unexpected issues arise. Patient Experience Greet patients and visitors with a warm, upbeat, and professional attitude. Answer incoming calls using a multi-line phone system. Respond to patient questions with empathy, professionalism, discretion, and a solutions-focused approach. Create a welcoming and supportive environment for individuals seeking behavioral health treatment. Build positive relationships with patients while maintaining appropriate professional boundaries. Bring energy, enthusiasm, and compassion to every patient interaction. Records Management and Compliance Review patient documentation for completeness and accuracy. Maintain organized electronic and physical filing systems. Ensure compliance with HIPAA and all applicable privacy regulations. Assist with medical records management and document collection. Recognize documentation issues and take the necessary steps to correct or escalate them. Maintain accuracy and attention to detail, even while managing multiple priorities. Qualifications Required Minimum of one year of experience in medical scheduling, medical reception, healthcare administration, or a related healthcare office role. Experience working with EMR or EHR systems. Strong understanding of insurance verification processes. Excellent verbal and written communication skills. Strong computer proficiency, including: Google Workspace, including Docs, Sheets, and Gmail Microsoft Office, including Word, Excel, and Outlook Electronic Health Record systems Exceptional organizational and multitasking abilities. Ability to maintain confidentiality and comply with HIPAA regulations. Professional phone etiquette and excellent customer service skills. An upbeat, friendly, and engaging personality. A positive attitude and the ability to bring energy and enthusiasm to the workplace. Self-motivated, dependable, and able to work independently. A proactive self-starter who takes ownership of responsibilities. Strong problem-solving skills and the ability to think on your feet. Driven to meet expectations and follow tasks through to completion. Passionate about helping patients and contributing to a growing healthcare organization. Ability to receive feedback, learn quickly, and adapt to changing priorities. Preferred Experience in behavioral health, psychiatry, psychology, TMS, or another medical specialty clinic. Knowledge of medical terminology. Familiarity with CPT and ICD-10 coding. Experience with insurance authorizations and claims support. Experience with SimplePractice or a similar healthcare practice-management platform.
