We are seeking a dynamic, experienced, emotionally intelligent, friendly and highly professional Client Intake Specialist Receptionist for our Longmont office—the firm's busiest location. This is a high-volume, phone-intensive position . Answering calls and delivering exceptional client service are the primary responsibilities—not occasional tasks. If you do not genuinely enjoy helping people, communicating by phone, and remaining professional during busy or challenging interactions, this position will not be the right fit. We are looking for someone with a demonstrated history of dependability & punctuality; frequent call-outs or ongoing attendance issues are not compatible with this coverage-based role. The ideal candidate is warm, confident, organized, and capable of communicating professionally with clients who may be experiencing stressful or emotional circumstances. This person must be able to manage frequent calls, appointments, intake responsibilities, and competing priorities without becoming flustered or allowing pressure to affect the client experience. Responsibilities Answer and manage a consistently high volume of incoming calls with patience, confidence, and professionalism. Speak with prospective clients, gather accurate information, and document a clear description of their legal needs. Schedule consultations, maintain calendars, send appointment reminders, and notify the appropriate legal team. Route existing client calls and take detailed, accurate messages. Monitor online inquiries and assist with prospective-client intake. Welcome clients and visitors and create a positive, professional first impression. Assist with conflict checks, client paperwork, fee agreements, and payment processing. Set up and audit new client files with strong attention to detail. Scan, organize, and save client documents accurately. Process incoming and outgoing mail and assist with general office organization. Maintain strict confidentiality and perform additional intake or administrative tasks as assigned. Qualifications Bilingual skills are highly preferred to effectively communicate with diverse client populations. At least two years of professional client-service, intake, reception, call-center, or high-volume office experience . Prior law firm or other professional-office experience involving confidential information is strongly preferred. Proven ability to manage high phone volume and multiple competing priorities. Exceptional customer-service, active-listening, and communication skills. Strong emotional intelligence and the ability to remain calm during difficult or sensitive interactions. Excellent organization, accuracy, follow-through, and attention to detail. Sound judgment, discretion, and appropriate professional boundaries. A demonstrated record of dependable attendance and punctuality. Ability to accept feedback professionally and take ownership of responsibilities. Proficiency in Microsoft Office and Google Workspace, with the ability to learn legal software. Ability to obtain a Colorado Notary Public commission within 90 days of hire.
