Role:
The Receptionist in our Health Care Services facility serves as the vital first point of contact for patients, visitors, and staff, ensuring a welcoming and professional environment. This role is essential in managing multi-line phone systems efficiently, directing calls appropriately, and handling inquiries with exceptional phone etiquette. The Front Desk is responsible for performing general administrative duties that support the smooth operation of the front office, including managing appointment schedules and maintaining accurate records. Additionally, the role involves greeting clients warmly and assisting them with check-in procedures, thereby enhancing their overall experience. Ultimately, the Front Desk team contributes significantly to the organization's reputation by providing reliable, courteous, and efficient service in a fast-paced healthcare setting.
Minimum Qualifications:
High school diploma or equivalent. Proven experience handling multi-line phone systems in a professional setting. Strong phone etiquette and communication skills. Basic proficiency with office equipment such as copy machines and multi-phone systems. Ability to perform general administrative duties efficiently.
Preferred Qualifications:
Previous experience working in a healthcare environment. Familiarity with electronic health record (EHR) systems or scheduling software. Additional training or certification in office administration or customer service. Bilingual abilities to assist a diverse patient population. Strong organizational skills and attention to detail.
Responsibilities:
Answer and manage multiple phone lines promptly and professionally, directing calls to the appropriate departments or personnel. Greet patients and visitors warmly upon arrival, providing assistance and information as needed. Perform general administrative tasks such as data entry, filing, copying, and managing correspondence. Schedule and confirm patient appointments, ensuring accuracy and timely communication. Maintain a clean and organized reception area to create a welcoming atmosphere.
