This is a fast-paced, fully in-person position responsible for answering a high volume of calls, scheduling appointments, registering new patients, accurately entering insurance information, and helping patients access the services they need. Work Schedule Full-time, on-site position Monday through Friday, with every other weekend required When scheduled to work the weekend, the employee will generally be off the Friday before and the Monday after Available shifts: 6:00 a.m.-2:30 p.m. 2:00 p.m.-10:30 p.m. Reliable attendance and punctuality are essential Primary Responsibilities Answer incoming calls throughout the duration of the assigned shift Manage a high-volume call queue, averaging approximately 95 calls per shift Maintain an average pace of at least one call every five minutes while providing professional, compassionate service Schedule, reschedule, and cancel patient appointments accurately Collect complete new-patient demographic, contact, and medical information Accurately enter and verify insurance information, including: Insurance carrier Member and group numbers Policyholder information Effective dates Secondary insurance, when applicable Inform patients of applicable copays, coinsurance, deductibles, or self-pay amounts Collect patient payments when required and document them accurately Send new-patient paperwork and provide instructions for completing required forms Answer common questions regarding appointments, services, office locations, telehealth, paperwork, and general practice procedures Provide warm transfers to the appropriate office or team member when additional assistance is needed Route messages accurately and promptly Make outbound calls from cancellation or waitlists as directed by the supervisor Conduct patient outreach or cold calls during periods of lower incoming call volume Review, organize, and file documents received through the electronic fax system Protect patient confidentiality and comply with HIPAA and company policies Maintain accurate documentation of all calls, scheduling activity, payments, and patient communications Complete other patient access and administrative duties as assigned Performance Expectations The successful candidate must be comfortable remaining actively engaged in phone-based work throughout the shift. This is not a low-volume front-desk role.
Team members are expected to:
Consistently manage approximately 95 calls per shift Answer calls promptly, professionally, and compassionately Maintain accuracy while working at a fast pace Minimize scheduling, demographic, and insurance-entry errors Collect applicable patient balances consistently Complete assigned outbound calls and electronic fax filing during available downtime Follow established scripts, workflows, and escalation procedures Communicate respectfully with patients, families, coworkers, and office teams Remain at the assigned workstation and available for calls throughout the scheduled shift, except during approved breaks Qualifications High school diploma or equivalent required Medical office, healthcare scheduling, call center, or customer service experience preferred Behavioral health or psychiatric office experience is a plus Strong telephone communication and customer-service skills Excellent attention to detail and data-entry accuracy Ability to handle a high volume of calls without compromising professionalism Ability to work with patients who may be distressed, frustrated, or experiencing behavioral-health concerns Basic understanding of medical insurance, copays, coinsurance, deductibles, and self-pay services preferred Comfortable using electronic health records, scheduling platforms, electronic fax systems, email, and multiple computer applications Ability to maintain confidentiality and follow HIPAA requirements Dependable, organized, compassionate, and able to accept coaching Must be available for the assigned shift and every-other-weekend rotation Training and Support This position receives routine support, coaching, and feedback from a direct supervisor. The employee will participate in regular one-on-one meetings to review performance, address questions, reinforce workflows, and support continued professional development.
