Role:

The Medical Spa Front Desk & Sales Coordinator serves as the first point of contact for guests and plays a vital role in shaping the overall experience at V/O Med Spa. This role blends luxury hospitality with an educational sales approach, helping guests feel welcomed, informed, and confident about their treatment options. The ideal Medical Spa Front Desk & Sales Coordinator is personable, organized, and results-driven, with the ability to build rapport, convert inquiries into bookings, and support the overall growth of the practice. Compensation is based on experience and includes hourly pay plus commission.

Medical Spa Front Desk & Sales Coordinator Key Responsibilities:

Warmly greet guests and create a five-star first impression from the moment they arrive. Manage guest check-in, check-out, appointment scheduling, and payment processing. Educate guests on treatments, services, promotions, and membership programs. Build rapport with guests to help guide them toward services that support their goals. Convert warm leads into consultations and bookings through thoughtful communication. Capture and follow up with online inquiries, events, phone calls, and walk-ins. Proactively call and text warm leads generated through our marketing and lead-generation efforts to schedule consultations and bookings. Maintain accurate guest records within the scheduling and CRM system. Track lead generation and conversion metrics to support practice growth. Maintain a polished, organized, and welcoming front desk and lobby environment. Collaborate with providers and management to ensure seamless daily operations.

Medical Spa Front Desk & Sales Coordinator Requirements:

Minimum 1 year of experience in a medical spa, plastic surgery office, dermatology practice, aesthetic practice, salon, or similar wellness/aesthetic setting required. Demonstrated ability to generate and book leads, promote services, or meet sales goals. Excellent communication and interpersonal skills. Professional appearance and polished hospitality mindset. Strong organizational skills with attention to detail. Ability to multitask and work efficiently in a fast-paced environment. Comfort using scheduling, CRM, and POS systems (Zenoti training provided). Passion for aesthetics, skincare, and helping guests feel confident.
