As a Scheduling Navigator, you will play a vital role in ensuring seamless patient flow, accurate documentation, and efficient communication between patients and clinical staff. Your expertise will contribute to delivering exceptional patient service while maintaining compliance with healthcare regulations and confidentiality policies. Duties Manage patient appointment scheduling across the EHR system Coordinate with medical providers, administrative staff, and patients to confirm appointments, reschedule as needed, and address scheduling conflicts promptly. Review medical documentation, care plans, and referral information to facilitate accurate scheduling aligned with patient needs and provider availability. Utilize medical coding knowledge including CPT codes, ICD-9, ICD-10, and ICD-10 to verify billing accuracy and support insurance claims processes. Maintain comprehensive records of scheduled appointments, cancellations, and follow-up procedures while ensuring compliance with HIPAA and clinical confidentiality policies. Provide exceptional customer service through phone communication, demonstrating professional phone etiquette and effective communication skills. Collaborate with billing departments to ensure accurate documentation review for medical billing processes related to Medicare and other insurance providers. Assist in training new staff on scheduling protocols and EMR/EHR system functionalities to promote operational consistency. Experience Proven experience in medical office management or healthcare administrative support with a focus on scheduling functions. Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is essential. Knowledge of medical terminology, health insurance procedures, and clinical confidentiality policies is required. Prior experience working in a medical practice. Demonstrated ability to handle multiple priorities efficiently in a fast-paced healthcare setting while maintaining attention to detail. Strong computer skills including proficiency in Microsoft Office applications and electronic health records management software. Bilingual abilities are preferred to effectively serve diverse patient populations. Experience with medical coding (ICD-9/ICD-10/CPT) and familiarity with health insurance processes will enhance performance in this role.
