Job Description
Advanced Endodontics of South Walton - Santa Rosa Beach, FL Position Overview Advanced Endodontics of South Walton is seeking a highly organized, detail-oriented, and experienced Lead Front Office Coordinator to oversee patient scheduling, insurance coordination, billing, accounts receivable, and front office operations. This individual will serve as the administrative leader of the practice and play a critical role in delivering an exceptional patient and referring doctor experience. The ideal candidate has extensive dental insurance knowledge, strong financial management skills, experience with TDO software, and the ability to lead a high-performing front office team while maintaining accuracy, professionalism, and accountability. ResponsibilitiesInsurance Coordination & Verification Verify dental insurance benefits and eligibility prior to patient appointments. Obtain pre-authorizations and predeterminations when necessary. Accurately estimate patient financial responsibility. Maintain expertise in PPO, indemnity, Medicare Advantage, and out-of-network reimbursement processes. Resolve insurance claim issues, denials, and appeals. Billing & Accounts Receivable Submit and track dental insurance claims. Manage outstanding claims and accounts receivable. Follow up on unpaid insurance claims and patient balances. Reconcile daily collections and payment reports. Generate monthly financial and collection reports. Monitor key practice financial metrics and aging reports. Accounting & Financial Management Maintain accurate financial records using QuickBooks. Reconcile bank deposits and accounts. Assist with payroll preparation and reporting. Track office expenses and vendor payments. Coordinate with CPA and practice ownership regarding financial reporting. Patient & Front Office Leadership Manage patient scheduling and treatment coordination. Maintain a professional and welcoming patient experience. Lead front office systems and workflows. Train and mentor front office team members. Ensure HIPAA compliance and patient confidentiality. Support marketing and referral relationship initiatives as needed. QualificationsRequired Minimum 5 years of dental front office experience. Minimum 3 years of dental insurance and billing experience. Extensive knowledge of dental insurance verification, claims processing, and collections. Experience with accounts receivable management. Proficiency with QuickBooks. Experience using TDO software. Strong understanding of dental coding and insurance terminology. Excellent communication and customer service skills. Strong organizational skills and attention to detail. Ability to multitask in a fast-paced specialty practice environment. Preferred Endodontic or specialty dental practice experience. Experience managing front office teams. Knowledge of PPO participation and out-of-network billing strategies. Experience with financial reporting and practice analytics. Familiarity with Careington and umbrella network plans.
