Medical Receptionist
Job Description
Medical Receptionist Summary The Medical Receptionist provides front office support to ensure the efficient operation of the practice. This position serves as the first point of contact for patients, visitors, physicians, and other healthcare facilities, delivering exceptional customer service while maintaining the highest standards of professionalism, accuracy, and patient confidentiality. Responsibilities include managing incoming calls, patient check-in procedures, appointment coordination, communication with clinical staff, and other clerical and administrative duties that support daily office operations. Answer and manage incoming telephone calls in a courteous, professional, and timely manner, directing callers to the appropriate personnel or department. Receive and relay hospital consults and communications from healthcare facilities to the appropriate physician or clinical staff member. Greet patients, visitors, and vendors in a welcoming, professional, and compassionate manner. Complete patient check-in procedures, verify demographic and insurance information, and collect applicable co-payments and outstanding balances. Add insurance and demographic information when necessary. Notify appropriate clinical staff of patient arrivals and assist with patient flow as needed. Provide patients and callers with general information, including office location, directions, fax numbers, website information, office hours, and other practice-related details. Coordinate the receipt, distribution, and processing of mail, packages, deliveries, and courier services, including FedEx, UPS, and other express carriers. Perform a variety of administrative and clerical duties, including filing, scanning, photocopying, faxing, and data entry. Coordinate and schedule pharmaceutical representative educational luncheon events. Assist patients with transportation coordination and related needs when appropriate. Support compliance reporting activities and maintain accurate records as required by practice policies and regulatory standards. Maintain strict confidentiality of patient information and comply with all HIPAA and organizational privacy requirements. Collaborate effectively with physicians, clinical personnel, and administrative staff to ensure quality patient care and efficient office operations. Perform additional duties, special projects, and responsibilities as assigned by management. Required Skills and Competencies Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Ability to maintain confidentiality and handle sensitive information with discretion. Strong organizational, multitasking, and time-management abilities. Proficiency in Microsoft Office applications and electronic medical record (EMR) systems. (preferred) Ability to work independently and as part of a team in a fast-paced healthcare environment. Professional appearance and demeanor. Work Environment This position operates in a professional medical office environment and requires regular interaction with patients, physicians, clinical staff, and external healthcare partners. The role routinely utilizes standard office equipment, including computers, telephones, photocopiers, scanners, fax machines, and electronic medical record (EMR) systems. The work environment is fast-paced and requires the ability to multitask while maintaining professionalism, accuracy, and exceptional customer service. Physical Demands This position is primarily sedentary and requires prolonged periods of sitting while performing administrative and computer-based tasks. The employee may occasionally be required to stand, walk, bend, reach, and file documents. The role requires the ability to operate standard office equipment, including computers, keyboards, scanners, fax machines, and telephones. The employee must be able to occasionally lift and carry items weighing up to 10 pounds. Position Type and Expected Hours of Work This is a full-time position.
Regular work schedule:
Monday through
Thursday:
8:00 a.m. to 5:00 p.m.
Friday:
8:00 a.m. to 3:00 p.m. Additional hours may be required as needed to meet operational and patient care needs. Travel Occasional travel between all OKG facilities is required to support operational needs. Additional local travel may be necessary for business-related errands, meetings, special projects, training, or other duties as assigned. Required Education and ExperienceEducation High School Diploma or equivalent required. Experience Previous experience in a medical office, healthcare setting, or customer service environment preferred. Experience managing multiple telephone lines in a professional setting. Proficiency with computers, Microsoft Office applications, and electronic medical record (EMR) systems preferred. Strong organizational, communication, and customer service skills.
