Job Description

Job Title:
Ophthalmic Clinic Call Center Appointment Scheduler Position Summary:
The Call Center scheduler is responsible for professionally managing a high volume of incoming calls to schedule appointments for general ophthalmology, oculoplastic, and retina services. This position requires excellent communication skills, attention to detail, and the ability to provide an exceptional patient experience over the phone.
Key Responsibilities:
Answer a high volume of incoming calls promptly and courteously. Schedule, reschedule, and cancel patient appointments for multiple ophthalmic specialties, including general, oculoplastic, and retina clinics. Verify and update patient demographic and insurance information accurately within the electronic medical record system. Triage calls appropriately, recognizing urgent and emergent eye care needs, and direct them to the appropriate clinical staff. Provide patients with clear information regarding appointment preparation, required referrals or authorizations, and directions to the facility. Document all calls and patient interactions thoroughly and accurately. Collaborate closely with clinic staff, technicians, and physicians to ensure smooth scheduling and optimal patient flow. Maintain knowledge of insurance plans, referral requirements, and common ophthalmic procedures. Follow established protocols for handling difficult or escalated calls with professionalism and empathy. Perform other administrative tasks and support duties as assigned.
Qualifications:
High school diploma or equivalent required; additional education in medical office administration or healthcare customer service preferred. Minimum 1 year of experience in a high-volume medical call center, ophthalmology or other specialty clinic experience strongly preferred. Familiarity with scheduling software and electronic health records (EHR); experience with Phreesia and NextGen a plus. Strong communication and interpersonal skills with the ability to remain calm and courteous under pressure. Excellent organizational skills and attention to detail. Ability to work collaboratively in a team environment and adapt to workflow changes. Bilingual skills required Other duties as assigned
Work Environment:
Fast-paced, team-oriented call center environment. Requires extended periods of time on the phone and working at a computer workstation.
