Job Description
North Florida Women's Care is seeking a full-time Appointment Scheduler to serve as a primary contact for patient scheduling needs and as a resource for general questions about the practice. This role performs job duties in a call center environment, ensuring data is processed and entered accurately and thoroughly. Responsibilities Handle a high-volume of incoming and out-going calls in a manner that is professional, courteous and caring, properly identifying oneself and the practice. Process patient schedules on a computerized system. Responsible for updating patient records related to demographics, insurance, and communication history keeping confidentiality, sensitivity, and HIPAA guidelines at the forefront. Interact effectively with patients, physicians, and internal staff to provide accurate and timely information. Responsible for answering general questions associated with insurance, procedures, and appointment preparation, using discernment on when to seek support from management. Required to maintain an understanding of evolving clinic practices and policies. Responsible for updating necessary stakeholders of new appointments, reschedules, and cancellations. Cross-train with Medical Receptionists on check-in/check-out processes in order to serve in that capacity when the business needs arise. Knowledge, Skills, and Abilities Knowledge of medical terminology, healthcare systems, and community resources. Strong verbal and written communication skills, using proper terminology and grammar. Ability to multi-task with strong organizational skills. Ability to use a computer with Microsoft Word, Outlook, and EMR software. Ability to accurately enter data rapidly, at times multi-tasking while on the phone. Knowledge of chart/medical record documentation requirements and federal/state laws relate to the release of health care information. Ability to maintain confidentiality and thorough knowledge of HIPAA policies and procedures. Ability and willingness to adapt to changes as necessary. Ability to maintain a positive attitude and maintain effective working relationships. Ensures all work exhibits a high level of quality through attention to detail and monitoring of work. Ability to communicate with patients, providers, and staff of differing personalities, demonstrating comfortability with challenging schedule changes/conflicts and sensitive patient matters. Must be able to concentrate for extended periods, paying attention to detail. Must be able to sit for extended periods and demonstrate manual dexterity while performing job duties. Operating standard office machines, including a computer, frequent ability to move freely about the office building, answering/using the telephone, and correcting vision and hearing to normal range. Requires occasional bending, reaching, and stretching. Education and Experience High School education or GED equivalent. Minimum of 1 year appointment scheduling experience in a medical office setting.
