In this vital role, you will serve as the first point of contact for patients, managing appointment scheduling, insurance verification, and billing processes with enthusiasm and professionalism. Your expertise in medical and dental administrative support will ensure smooth clinic operations, accurate documentation, and compliance with healthcare regulations. This position offers an exciting opportunity to be part of a caring team dedicated to delivering outstanding dental care while utilizing your comprehensive knowledge of health information management systems. Duties Greet patients warmly, answer multi-line phone systems, and manage appointment scheduling using dental practice management software such as Dentrix or Eaglesoft. Verify insurance coverage and benefits, including Medicare, Medicaid, and private insurers, ensuring accurate insurance information entry into EMR (Electronic Medical Records) systems like Epic, Meditech, or eClinicalWorks. Conduct insurance verification and pre-authorizations to facilitate smooth patient check-in and treatment planning. Collect payments, process co-pays, and handle medical billing and collections efficiently using systems like Athenahealth or other EHR platforms. Review clinical documentation for accuracy and completeness in accordance with HIPAA policies and medical coding standards such as
CPT, ICD-9, ICD-10
coding for dental procedures and treatments. Maintain meticulous medical records and ensure compliance with health information management protocols including filing, scanning, and updating electronic health records (EHR). Provide exceptional patient service by addressing inquiries related to insurance benefits, treatment plans, and office policies with clarity and professionalism. Support clinic operations through clerical tasks such as data entry, typing reports, managing office supplies, and coordinating patient intake processes. Experience Prior experience working in a dental or medical office environment is highly preferred; familiarity with dental terminology and clinical procedures is a plus. Demonstrated proficiency in EMR/EHR systems such as Dentrix, Eaglesoft, or similar platforms like Meditech or Epic. Strong knowledge of health insurance procedures including verification processes for Medicare, Medicaid, commercial plans, and understanding of health insurance policies related to dental care. Experience with medical coding (CPT codes), ICD coding (ICD-9/ICD-10), and medical billing practices to ensure accurate reimbursement workflows. Excellent customer service skills with the ability to communicate effectively via phone etiquette and multi-line phone systems. Bilingual abilities are desirable to serve diverse patient populations effectively. Strong computer skills including Microsoft Office Suite for documentation review and administrative support tasks. Ability to handle sensitive patient information confidentially in accordance with HIPAA regulations while maintaining clinical confidentiality policies.
