Position Summary The Student Health Clinic Receptionist serves as the first point of contact for students, staff, and visitors accessing services at the Hawkeye Community College Student Health Clinic. This position provides professional, welcoming, and confidential front-desk support while assisting with appointment scheduling, student registration, communication, recordkeeping, and the day-to-day operation of the clinic. The Receptionist plays an important role in creating an environment where students feel comfortable seeking healthcare services and works closely with clinical staff to ensure efficient and responsive service.
Essential Duties and Responsibilities:
Greet students, staff, and visitors in a friendly, professional, and welcoming manner. Serve as the primary front-desk contact for the Student Health Clinic. Answer telephone calls, respond to general questions, take messages, and route calls appropriately. Schedule, confirm, reschedule, and cancel student appointments as needed. Check students in for appointments and assist with completion of required registration and consent forms. Verify and update student demographic and contact information. Maintain appointment schedules and assist clinical staff with coordinating patient flow. Provide students with general information regarding available clinic services, hours, and procedures. Direct medical or clinical questions to the appropriate healthcare provider. Assist students with referrals and information regarding community resources as directed by clinic staff. Maintain accurate records and enter information into applicable electronic systems. Scan, file, organize, and maintain clinic documents and records. Maintain strict confidentiality of student and patient information in accordance with HIPAA, FERPA, organizational policies, and other applicable privacy requirements. Assist with obtaining appropriate releases of information and processing records requests according to established procedures. Communicate professionally with Hawkeye Community College personnel, healthcare providers, community partners, students, and families as appropriate. Receive and distribute mail, deliveries, forms, and other clinic materials. Monitor front-desk and waiting-area supplies and notify appropriate staff/place orders when supplies are needed. Help maintain a clean, organized, professional, and welcoming reception and waiting area. Assist with student outreach and promotion of available Student Health Clinic services. Support clinic staff with data collection, documentation, reports, and other administrative responsibilities as needed. Participate in staff meetings, training, and other organizational activities as required. Follow SuccessLink policies and procedures as well as applicable Hawkeye Community College policies and clinic procedures. Perform other duties as assigned to support the effective operation of the Student Health Clinic. Qualifications Required High school diploma or equivalent, college degree preferred. Strong customer service and interpersonal skills. Excellent verbal and written communication skills. Ability to interact professionally and respectfully with individuals from a variety of backgrounds. Strong organizational skills and attention to detail. Ability to manage multiple responsibilities and interruptions in a busy environment. Basic computer proficiency, including email, electronic calendars, data entry, and standard office applications. Ability to maintain confidentiality and handle sensitive information appropriately. Dependable, professional, and able to work effectively as part of a team. Preferred Previous receptionist, administrative assistant, medical office, healthcare, or customer service experience. Experience working with college students, adolescents, or young adults. Familiarity with medical terminology, electronic health records, or healthcare scheduling systems. Knowledge of HIPAA and healthcare confidentiality requirements. BLS certified or obtained within 3 months of hire Knowledge, Skills, and Abilities The successful candidate should demonstrate: A welcoming and student-centered approach to customer service. Good judgment when handling confidential or sensitive situations. Ability to recognize when a student's question or concern should immediately be referred to clinical staff. Ability to communicate calmly and professionally with students who may be ill, upset, anxious, or experiencing a difficult situation. Ability to establish positive working relationships with students, clinic staff, college personnel, and community partners. Ability to work independently while also functioning effectively as part of the clinic team. Flexibility and willingness to assist with the changing day-to-day needs of a student health clinic. Physical and Work Requirements Ability to perform standard office duties, including prolonged periods of sitting and computer use. Ability to occasionally lift and move office or clinic supplies. Regular interaction with students, staff, healthcare providers, and members of the public. Work is primarily performed in a healthcare clinic and office environment. Confidentiality Because this position has access to confidential student and health information, the Receptionist is expected to maintain the highest standards of privacy and confidentiality and comply with all applicable SuccessLink policies and federal and state confidentiality requirements.
