Job Description

PURPOSE The Fax Server/Medical Receptionist is responsible for greeting patients and visitors in a courteou s and friendly manner, working all faxes that come in to WQM, answering all phone calls, checking patients in when needed, taking appropriate, clearly defined messages, gathering and/or verifying patient demographic and insurance data on the phone or in person, and assuring necessary paperwork is completed and accurate to facilitate professional, quality patient care.

FUNCTIONS
  • Professionally greet and assist patients/visitors who enter the facility.
  • Follow the screening protocol for patients/employees as needed.
  • Provide exceptional customer service in person and over the phone under pressure with a pleasant demeanor.
  • Courteously interact with providers, nurses, staff, visitors, and patients.
  • Responsible for coverage of the front desk, receptionist area and waiting room.
  • Responsible for coverage at other clinics if the need arises.
  • Schedule, confirm, cancel, and reschedule appointments.
  • Adhere to policies and procedures within the clinic - no show policies, dress codes etc.
  • Monitor the daily automated messaging report and make reminder calls as needed.
  • Register/check-in patients.
  • Collect required demographic information including the patient's picture.
  • Verify insurance coverage, calculate eligibility, run KMAPS and collect co-pay's - obtain current insurance card for the patients file, including work injury, workman's comp, vehicle accident and secondary payer information.
Collect Forms:

HIPAA privacy, Consent to Treat, Consent to Treat a Minor.

  • Verify and update all information in computer. SSN #, Address, Phone Number, Nickname, E-mail Address, Primary Care Provider, Employer, and Emergency Contacts.
  • Send out portal invitations.
  • Manage the check-in process for all outside providers.
  • Complete accurate documentation of patient phone conversations.
  • Verify the cash box at the beginning of each day. Balance cash with receipts at the end of each day for billing.
  • Verify the cash box at the end of each day and send money collected and documentation to the billing department to post.
  • Perform all duties following HIPAA regulations.
  • Assist in simple cleaning within office, as needed - includes coffee bar, Culligan water dispenser and kitchen duty.
  • Open and close the clinic, disburse mail, and perform other tasks as may be deemed necessary or assigned.
  • Work the CDI WQM fax server per designated office workflows and according to HIM standards.
WORKING CONDITIONS

Appearance must be appropriate for office environment. Must be able to operate computer terminal and sit for long periods. Requires full range of motion, manual and finger dexterity, good hand-eye coordination, and ability to be sedentary for extensive periods. Must be able to lift and carry items weighing up to 25-30 pounds.

Requires normal corrected vision and hearing. Must have the ability to work under stressful conditions and flexible work hours. There may be some exposure to communicable diseases and Blood Borne Pathogens.

MENTAL/VISUAL

Ability to comprehend established office routines and policies. Position requires the ability to maintain concentration and attention to detail. Must be task oriented with strong verbal and written communication skills. Must be able to discuss, discern and exchange information clearly and accurately. Ability to perform mathematical tasks. Understand the ethics of confidentiality. Good organization skills and good work ethics. Tact and diplomacy.

Be able to interact with patients/families based on age-specific criteria as follows:
Infant:

Ages 0-3 yrs.

Pediatric:

Ages 4-12 yrs.

Adolescent:

Ages 13-20 Yrs.

Adult:

Ages 21-64 yrs.

Geriatric:
Ages:

65+ yrs.

EQUIPMENT UTILIZED
  • Daily use of standard office equipment, e.

g., telephone, fax, i-pad, video display terminal, copy machine, paging system, voice mail.

ENVIRONMENTAL
  • Surgical Clinic residing in Hoisington.

Could include reception coverage in Great Bend on occasion. Position functions within a normal building environment, requiring ability to adapt to periodic environmental changes, e.g. temperature, air quantity, sunlight, and noise.

WORK SCHEDULE
  • Workweek will be based upon the office hours scheduled for public service with normal work week to be 40 hours.

May be required to work overtime depending on staffing situations and patient volume. Start and end times may fluctuate based on what shift you are covering.

QUALIFICATIONS
  • Formal education is not required by law but a high school diploma or a GED is preferred.
  • Medical receptionist experience or background in medical office work preferred. Experience in dealing with medical records helpful.
  • Bilingual skills extremely helpful.
