At Schaffner Family Law, a client's experience begins the moment they walk through our door or call our office. We are a fast-paced law firm seeking a part-time Legal Intake Specialist/Receptionist to support our mid-day operations. This role suits someone who is organized, dependable, and comfortable managing multiple responsibilities at once, with a consistent schedule that leaves afterschool time free. Responsibilities Communications & Client Intake Answer and route incoming calls during peak hours, directing calls appropriately and screening solicitors. Manage incoming leads through our marketing platform, serving as the first point of contact for prospective clients who are reaching out online. Accuracy and responsiveness are essential. Conduct initial phone intake to gather client information and log details accurately for conflict checks. Schedule attorney meetings with clients. Office Operations Support Handle copying, scanning, binding, and filing for attorneys and paralegals. Order and maintain office supplies, coffee, Diet Coke and other essentials, before they run low. Assist with basic office technology and troubleshooting as needed. Support marketing-related tasks as assigned. Office Maintenance Keep the lobby, reception desk, conference rooms, and mediation space clean, organized, and client-ready throughout the day. Greet clients, visitors, and callers with professionalism and warmth, providing excellent customer service at all times Answer multi-line phone systems promptly and courteously, directing calls to appropriate staff or departments Manage front desk operations, including scheduling appointments, maintaining visitor logs, and handling incoming correspondence Conduct initial client interviews to gather essential case information accurately and efficiently Perform data entry and maintain organized records of client information using Microsoft Office applications and case management software Assist with administrative tasks such as calendar management, document proofreading, and basic bookkeeping duties Support the legal team with clerical tasks including word processing, filing, and preparing legal documents as needed Requirements Available for a consistent 9:00 AM - 3:00 PM schedule, Monday through Friday. There is some flex in this time, but a 5-6 hour per day time block is needed. 1-2+ years of experience in a front desk, hospitality, or administrative role preferred (legal experience is a plus, but not required). Experienced working with computers, Office 365 and Cloud-based CRM. Experience with Clio is a plus, but not required. Comfortable working across multiple software platforms. Organized, detail-oriented, and able to stay composed under pressure. Owns a vehicle and holds a valid operator's license. Understands and will maintain confidentiality in a legal environment.
