In this vital role, you will serve as the first point of contact for patients and visitors, manage appointment scheduling, handle medical documentation, and ensure smooth administrative operations. Your proactive approach and excellent communication skills will help create a positive experience for patients while supporting the clinical team with accurate record keeping and efficient office management. This position offers a dynamic environment where your organizational skills and medical knowledge will make a meaningful impact on patient care. Responsibilities Greet patients and visitors warmly, providing exceptional customer service and guiding them through check-in and check-out processes Schedule appointments efficiently using electronic health record (EHR) system Verify patient insurance coverage, process payments, and handle medical billing and collections in compliance with HIPAA regulations Review and update medical records, ensuring accuracy in documentation review, coding (CPT, ICD-9, ICD-10), and compliance with clinical confidentiality policies Manage multi-line phone systems with professional phone etiquette to answer inquiries, schedule appointments, and direct calls appropriately Assist with intake procedures, including collecting patient information, updating health histories, and managing electronic health records (EHR) management system eClinicalWorks. Maintain organized filing of medical records and ensure proper documentation of care plans, insurance claims, and correspondence Support clinical staff by preparing necessary paperwork, managing office supplies, and performing clerical tasks such as data entry with high typing accuracy. Skills Strong knowledge of medical office procedures including appointment scheduling, billing, coding (ICD-10/ICD-9/CPT), and insurance verification Proficiency in EMR/EHR systems such as, eClinicalWorks. Excellent customer service skills with the ability to communicate clearly via phone and in person while maintaining professionalism Familiarity with health insurance policies including Medicare and Medicaid processes Ability to review medical documentation accurately while adhering to HIPAA guidelines for confidentiality Bilingual abilities are highly desirable to serve diverse patient populations effectively, but not manditory. Prior clinic or medical office experience is required. Strong computer skills required. Knowledge of medical terminology, medical records management, and health information management practices Experience with multi-line phone systems, and working with high call volume.
