Job Description
Overview Join our growing, physician-led concierge medical practice as a Medical Receptionist / Office Coordinator . This is a key role for an organized, personable, and highly dependable professional who enjoys creating an exceptional patient experience while keeping the practice running smoothly. As the first point of contact for our patients, you will represent the practice with warmth, professionalism, and discretion. You will work closely with the physician and medical assistant to coordinate patient care, manage administrative operations, and ensure timely communication with patients, specialists, laboratories, pharmacies, and outside medical institutions. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a dynamic, fast-paced medical environment. Key Responsibilities Welcome patients warmly and professionally and provide an exceptional patient experience. Manage patient check-in and check-out, appointment scheduling, and follow-up appointments using the practice's EMR/EHR system. Coordinate follow-up laboratory tests, imaging studies, specialist consultations, and other appointments following patient visits. Answer and manage incoming phone calls and patient communications promptly and professionally. Obtain, organize, scan, upload, and maintain patient medical records and outside medical documentation in the EMR for physician review. Communicate with outside hospitals, medical practices, laboratories, imaging centers, pharmacies, and specialists regarding referrals, medical records, test results, and follow-up care. Track referrals, laboratory and imaging studies, and appointments to ensure timely completion and follow-up. Maintain accurate and complete medical records and assist with documentation and coding processes, including CPT and ICD-10 coding. Verify insurance coverage and assist with medical billing, collections, Medicare requirements, and related administrative processes. Communicate with insurance companies and pharmacies regarding prior authorizations, medication coverage, and insurance-related questions. Complete timely administrative tasks within the EMR and practice management systems. Maintain office supplies, inventory, and equipment; anticipate needs and coordinate timely ordering. Assist the physician and medical assistant with administrative and clinical workflow as needed. Maintain strict confidentiality and comply with HIPAA and applicable privacy regulations. Qualifications At least 1 year of experience as a medical receptionist, medical office coordinator, practice coordinator, or office manager in a healthcare setting. Strong candidates with transferable experience from other professional environments are also encouraged to apply. Excellent customer service, communication, and interpersonal skills, with the ability to interact warmly and professionally with patients. Strong knowledge of medical terminology, healthcare workflows, insurance processes, and electronic health record (EHR/EMR) systems such as Epic or athenahealth . Familiarity with medical billing, CPT and ICD coding, Medicare, and insurance processes. Highly organized, detail-oriented, and able to prioritize multiple responsibilities accurately and efficiently. Proactive and resourceful, with excellent follow-through and attention to detail. Professional, pleasant, dependable, and collaborative. Comfortable working in a dynamic, fast-paced environment while maintaining a calm and polished manner.
