We are currently adding new members to our Front Office Associate team. The Front Office Associate serves as the first point of contact for patients, visitors, and callers, providing professional, courteous, and efficient customer service while supporting the daily administrative operations of the practice. This position is responsible for ensuring accurate and efficient patient access processes from initial scheduling through check-out, including registration, appointment coordination, telephone communications, payment collection, and administrative support. The Front Office Associate promotes a positive patient experience, supports effective practice operations, and contributes to accurate documentation and revenue cycle processes through timely and accurate collection of patient demographic, insurance, and financial information.

Strong verbal and written communication skills. Professional telephone etiquette. Ability to manage multiple priorities in a fast-paced healthcare environment. Knowledge of medical office operations, patient registration, and scheduling workflows. Understanding of insurance verification, referrals, authorizations, and patient financial responsibilities. Ability to maintain confidentiality and comply with HIPAA requirements. Strong attention to detail and accuracy in documentation and financial transactions. Proficiency with electronic medical records (EMR), Practice Management (PM) systems, and standard office equipment. Ability to work independently while contributing effectively as part of a team. Required Education High school diploma or equivalent (GED) Preferred Education Associate degree in Healthcare Administration, Business Administration, Medical Office Administration, or related field. Required Experience Minimum of one year of customer service, administrative support, or office experience. Preferred Experience Experience working in a medical office, physician practice, ambulatory care setting, or healthcare environment. Experience with EMR and Practice Management systems. Experience with medical scheduling, registration, insurance verification, referrals, and patient payment collection. Knowledge of medical terminology and healthcare workflows. Ob/gyn experience and/or Athena EMR experience is not required, but beneficial The successful applicant must have reliable transportation and enthusiasm about working in different office locations (Springfield, South Hadley, Longmeadow, or Agawam).
