Our practice provides expert care across a broad range of specialties, including general ENT, Audiology, facial plastic and reconstructive surgery, cosmetic services including injectables and laser treatments, surgical treatment for obstructive sleep apnea, and advanced treatment of head and neck cancers, thyroid and parathyroid conditions. We also provide Mohs closure and reconstructive procedures for patients undergoing treatment for skin cancer. Our goal is to provide personalized, high-quality care that addresses each patient's individual needs—from improving health and function to helping patients feel confident in their appearance. Position Overview We are seeking a Front Office Coordinator to join our growing ENT, Head & Neck Surgery, and Audiology team. This position is often the first voice and face our patients experience , making it an important role in creating a welcoming and positive patient experience. The Front Office Coordinator will be responsible for answering a multi-line phone system, assisting patients with appointments and payments, addressing basic billing and statement questions, and coordinating appointments for our providers and services. The ideal candidate is friendly, dependable, organized, detail-oriented, and comfortable multitasking in a fast-paced specialty medical practice. This position requires someone who is reliable and punctual and who consistently approaches patients and coworkers with kindness, professionalism, and a positive attitude. Key Responsibilities Front Desk & Scheduling Serve as the primary phone contact for the practice, with support from Medical Assistants, the Surgery Scheduler, and Practice Manager as needed Check patients in and out efficiently and professionally Obtain and accurately enter demographic and insurance information into Epic Obtain required patient signatures and complete necessary consent and HIPAA documentation Collect copays, deductibles, outstanding balances, and other patient-responsibility amounts Schedule new and established patient appointments and follow-up visits Schedule referrals to SLP and Audiology based on provider recommendations Coordinate office appointments for five providers, including our MD, two PA-Cs, SLP, and Audiologist Confirm that required insurance referrals and authorizations are in place prior to the patient's visit Receive and process physician referrals through Epic, email, and fax Assist with basic patient billing and statement questions and direct more complex questions appropriately. Patient Communication & Coordination Serve as a primary point of contact for patients regarding appointments and general office questions Answer incoming calls and assist patients with scheduling, rescheduling, and cancellations Communicate clearly and professionally with patients, referring offices, providers, and other healthcare facilities Help create a welcoming and positive experience for every patient Encourage satisfied patients to leave a Google review when appropriate Insurance & Documentation Verify insurance eligibility and benefits Obtain and document required referrals and prior authorizations Ensure accurate and timely documentation within Epic Maintain accurate patient demographic and insurance information Maintain patient confidentiality and comply with HIPAA and all applicable regulatory requirements Office Support Help maintain a clean, organized, and welcoming front-office environment Perform routine cleaning duties in public areas, including the foyer, waiting room, hallways, and conference room Assist with other front-office duties and projects as needed Qualifications High school diploma or equivalent required 1-2 years of experience in a medical office, scheduling, or patient-facing healthcare role preferred Previous experience in an ENT or specialty medical practice is a plus Experience with medical insurance, referrals, and prior authorizations preferred Familiarity with EHR and scheduling systems Strong organizational and multitasking skills Excellent verbal and written communication skills Professional, friendly, and patient-focused demeanor Ability to work effectively with providers, clinical staff, patients, and referring offices Strong attention to detail and ability to maintain accuracy in a busy environment Reliable, punctual, and able to maintain a consistent Monday-Friday schedule Preferred Experience & Skills Previous ENT or specialty medical office experience Previous Epic experience Experience with CareCredit or patient financial counseling Knowledge of insurance verification, referrals, and prior authorization requirements Strong problem-solving and patient communication skills Ability to remain calm, organized, and professional in a busy office environment A positive, team-oriented attitude and willingness to help wherever needed Why Join Premier Head and Neck Surgery?
