Overview Medical Office Manager — Part-Time On-site | Opportunity Grandrapids Regenerative Center is a new medical practice bringing regenerative medicine and noninvasive and minimally invasive pain treatments to Grand Rapids, including PRP injections, laser therapy and shockwave therapy. Our vision is to build a modern, technology-driven practice that combines personalized care, innovative treatment options and an exceptional patient experience. We're looking for an organized, proactive Medical Office Manager who wants to help build something from the beginning. You'll work closely with our clinical team and ownership to establish efficient systems, manage daily operations and help shape a growing practice. About the Role This is a hands-on position combining front-desk responsibilities with office management. You will be the primary on-site administrative contact, keeping the office organized, supporting patients and coordinating with remotely based ownership. Responsibilities Answer calls, respond to inquiries and emails, schedule appointments and coordinate patient intake. Welcome patients, collect payments and explain approved service packages, pricing and office policies. Coordinate with our outsourced billing company to track outstanding claims, missing documentation and follow-up tasks. Prepare and securely route records and case files for attorney review under established procedures. Manage supplies, vendor coordination, opening and closing, and daily office needs. Provide weekly updates on scheduling, collections, outstanding tasks and operational issues. Support referral relationships, patient follow-up and local marketing activities. Help develop office procedures and train additional administrative staff as the practice grows. Qualifications At least two years of medical office experience; office management or supervisory experience preferred. Familiarity with EMR systems, scheduling, patient payments and medical billing workflows. Experience with auto injury, personal injury or workers' compensation cases strongly preferred. Strong communication, organization and follow-through. Comfortable using technology, spreadsheets and learning new software. Able to work independently, solve routine problems and recognize when to escalate concerns. Professional, welcoming approach and a strong commitment to patient confidentiality. Experience in pain management, physical therapy, orthopedics or a similar outpatient practice is a plus. Familiarity with OptiMantra or GoHighLevel is helpful but not required. Schedule and Opportunity Part-time to start, with on-site coverage during clinical days and additional scheduled administrative hours. This role offers the opportunity to take on greater responsibility and increase hours as the practice grows.
Pay:
